Job Description

The IFMS Team Lead will oversee the daily operations of BPCL Petrol Pump Retail Outlets under the IFMS contract. This role involves supervising site staff, ensuring compliance with BPCL SOPs and statutory regulations, achieving operational goals, coordinating with clients, and maintaining safety, service, and quality standards across multiple sites.

Key Responsibilities:

Operations & Compliance

  • Supervise and monitor daily operations across assigned BPCL petrol pump outlets.
  • Ensure strict adherence to BPCL Standard Operating Procedures (SOPs) and regulatory compliance.
  • Conduct regular site audits focusing on housekeeping, safety, and manpower deployment.
  • Coordinate with BPCL officials to ensure smooth execution of IFMS contract activities.
  • Conduct daily visits to Retail Outlets (ROs) to validate Zonal Supervisors (ZS) / Maintenance Service Technicians (MSTs) activities as per scope and schedule; share daily visit MIS reports with stakeholders.
  • Ensure safety guidelines are rigorously followed at the field level to avoid any penalties.
  • Maintain records periodically for operational transparency and audit readiness.
  • Oversee the proper functioning of CAMC vendors and PMC for critical equipment upkeep.
  • Ensure proper work permits are issued at ROs before commencing any jobs.

Team Management

  • Lead and manage site teams including housekeeping, pantry staff, helpers, technicians, etc.
  • Prepare duty rosters, manage attendance, and ensure adequate manpower deployment.
  • Conduct regular team briefings and training sessions focusing on safety, quality, and process updates.
  • Maintain constant engagement with zonal supervisors to monitor and support field operations.

Client Relationship Management

  • Act as the primary point of contact for BPCL representatives at assigned sites.
  • Address client queries, complaints, and escalations promptly and professionally.
  • Share periodic updates and reports with BPCL management and internal stakeholders.
  • Conduct periodic review meetings with BPCL management, CVS, and SH with comprehensive data and clear, actionable timelines.
  • Take up and resolve field issues effectively during review meetings.

Administration & Reporting

  • Monitor consumables, equipment, and assets; raise purchase or maintenance requests as required.
  • Prepare and submit daily, weekly, and monthly operational reports including attendance, work status, and issue trackers.
  • Support payroll processing with accurate attendance, overtime, and deduction inputs.
  • Maintain payment records as per company policy.
  • Regularly list reports and escalate problems from the concerned territories.

Safety & Quality Assurance

  • Implement and enforce safety protocols, conduct fire drills, and ensure emergency preparedness.
  • Maintain high hygiene and service quality standards across all sites.
  • Promptly report and resolve incidents, accidents, and non-compliance cases.

Continuous Improvement & Collaboration

  • Share experiences and operational insights periodically with other Team Leads for collective improvement.
  • Take up additional jobs not covered under the scope of work (SOR) quickly to transform ROs into model retail outlets.
  • Conduct periodic review meetings with CVS/SH to ensure full data transparency, actionable follow-ups, and strict timelines.

Key Skills & Competencies:

  • Strong leadership and team management skills.
  • Excellent communication, interpersonal, and coordination abilities.
  • Sound problem-solving and decision-making skills under pressure.
  • Good understanding of petrol pump operations and IFMS service requirements preferred.
  • Proficiency in MS Excel, attendance systems, and basic reporting tools.
  • Ability to maintain meticulous records and manage compliance rigorously.

Qualifications & Experience:

  • Graduate or Diploma in Electrical Engineering.
  • 5-10 years of experience in facility management, retail operations, or similar roles.
  • Experience with petroleum sector clients (BPCL/HPCL/IOCL) is a distinct advantage.

Additional Expectations:

  • Daily validation visits to ensure ZS/MST adherence to scope and schedules.
  • Ensure adherence to safety norms to prevent penalties.
  • Maintain proper records and ensure timely maintenance of critical equipment via vendors.
  • Organize and participate in regular review meetings with CVS, SH, BPCL management, and internal teams.
  • Maintain updated payment records and compliance with company policies.
  • Engage continuously with zonal supervisors and share operational insights across the team.
  • Ensure prompt execution of jobs outside the contract scope to improve operational excellence.
