Job Description

Role & responsibilities

Facility & Administration Management

  • Ensure smooth upkeep and maintenance of all plant administrative requirements, including seating, building facilities, and stationery.
  • Coordinate infrastructure-related projects and enhancements and office maintenance.
  • PR/PO requisition management, event management (Lays Day, AOP rollouts, offsites, etc.), drain cleaning, canteen food delivery coordination, transportation coordination, monthly MIS, repair works, pest control, safety, and security monitoring.
  • Manage vendors and suppliers, including selection, negotiation, and risk management.
  • Supervise general administrative services such as courier, petty cash, printing of business cards, nameplates, and ID cards.
  • Manage biometric access systems and employee identity cards.
  • Resolve issues related to utilities such as electricity, internet, and phone lines.
  • Liaise with internal departments for smooth coordination.

2. Manpower & Compliance

  • Oversee manpower deployment for housekeeping, horticulture, and cafeteria management.
  • Monitor attendance, training, and compliance requirements.
  • Manage billing and related documentation.
  • Conduct monthly GMP audits and ensure timely implementation of corrective actions.

3. Canteen & Horticulture Management

  • Ensure overall upkeep of the canteen in terms of hygiene, maintenance, stock control, and financial accounts.
  • Organize regular Canteen Management Committee meetings and ensure timely execution of agreed actions.
  • Maintain plant horticulture with proper upkeep and regular maintenance.

4. Employee & Visitor Support

  • Facilitate travel, stay, and related arrangements for employees and visitors.
  • Prepare visa letters and other documentation for international travel.
  • Provide reception support by maintaining a clean, organized reception area and assisting visitors.
  • Ensure employee engagement activities such as birthday and anniversary celebrations.

5. Records & Documentation

  • Maintain and update administrative files, databases, and records for easy access.

Perform basic bookkeeping and clerical duties for administrative functions
