Job Description

Job Duties & Responsibilities:

Employee Engagement and Communication:

  • Planning and Executing Employee Engagement activities.
  • Create calendars & creatives for Employee Engagement and Employee Communication.
    Ensure that major events are organized, and the other activities are adhered to as per the calendar.
  • Ensure that the reward and recognition program is driven as per the policy.
  • Conduct ESS (Employee Satisfaction Survey) & EES (Employee Engagement Survey) once a year by circulating a link and ensuring complication by the staff.
  • Festivals & Activities like Diwali, Christmas, Womens Day, Nurses Day, Retirement function, Celebrating You, etc.
  • Active participation in planning, co-ordination and execution of Employee Engagement activities.
  • Regular connects with employees for workplace and process feedbacks if any.

HR Operations:

Resignation Tracker

  • Maintaining Resignation tracker on daily bases.
  • Mailing it to the Payroll person on 20th of each month

Staff probation Performance Review

  • Maintaining confirmation tracker, printing, mailing and distributing staff probation forms to respective HODs, printing confirmation letters, distributing the letters, filing the letters in the file on monthly bases.

Contract renewal of Retainer Employees

  • Maintaining contract renewal tracker, mailing it to respective HOD’s, take approval from CEO, preparing impact and salary structure, printing letters & distributing the letters on monthly bases.

Credentials (MMC/MNC Tracker)

  • Maintaining MMC & MNC tracker on monthly bases and sending reminder mails to CNO & MS if any expiry of employees Registration.

Exit formalities

  • Handling all Clearance & exit interviews for staff level positions, ensuring all post resignation formalities are completed on time.
  • Resignation register maintenance.

Hospital Mediclaim

  • Preparing monthly new joiners Mediclaim data & Coordination for the medical insurance for all the staff.
  • Reimbursement files tracker maintenance and courier to the Paramount team.
  • Follow up for Reimbursement Mediclaim cases
  • Daily mails of confirmation of active staff being admitted for cashless facility.

Filing of Documents

  • Ensure copies of certificate are obtained for all the employees and they are filed in the employee file and completed.

CPC Meetings

  • Conducting CPC (Credential & Privilege Committee) meetings on quarterly bases. Making of Data, PPT, calling all the committee members, ensuring attendance, maintaining the records, preparing MOM, Mailing it to Quality Head & other committee members (MS, Quality Head, HR Head & Consultants).

Letters

  • Preparing Experience Letters, Contract renewal letters, still working letters, Resignation Acceptance letters & other Official letters or documents as per requirement.

HRMS Attendance

  • Pulling employee attendance data from HRMS System on daily bases to ensure proper attendance management.

Monthly review Slides

  • Preparing Employee Engagement Review presentation slides on monthly bases.

Audits

  • Active participation pertaining to documentation & data for NABH & Internal Audits.

Onboarding

  • Ensure all the joining formalities are taken care of appropriately for all staff level, new entrants (Ensures that the joining kit with all the forms is handed over to new entrants).
  • Check and ensure that the personal files, the formats to be included in it, joining forms etc are in place using a standard checklist.

Others

  • Distributing Appraisal forms to respective HOD’s.
  • Coordinating for Training, helping in attendance, recording keeping, feedback, etc.

Employee Retention:

  • Improvement in retention of Nursing (N band) - Conduct monthly/quarterly employee engagement activities for the new joiners.
  • Improvement in retention of Others (Non-medical & Paramedics) – Conducting exit interview & counselling the employee for retention or to know the reason of leaving.
  • Employee connect – Maintaining good employee connect with all employees.
