Job Summary: The Graphic Designing provides administrative and operational support to the design and creative teams. This role ensures smooth workflow management, organized data and file handling, and coordination of design-related tasks, deadlines, and communication. The position focuses on managing documentation, data entry, project coordination, and maintaining proper file structures — allowing the creative team to focus on production. Key Responsibilities: 1. Project & Workflow Coordination Support the design team by organizing and tracking ongoing design projects. Maintain project schedules, deadlines, and task lists. Assist in preparing project briefs, job sheets, and delivery checklists. Coordinate with other departments (marketing, academics, etc.) to ensure design requests are processed on time. 2. Data Entry & Management Maintain accurate records of design requests, project logs, and completion reports. Update internal trackers and databases for ongoing and completed work. Handle data entry related to design assets, feedback forms, and project status updates. 3. File & Asset Management Organize and maintain design files, folders, and archives (both digital and physical). Ensure proper version control and naming conventions for all design files. Maintain backups and manage access permissions for shared drives or cloud folders. 4. Communication & Coordination Serve as the communication bridge between design, operations, and marketing teams. Schedule team meetings, take minutes, and follow up on action points. Communicate timelines, deliverables, and updates to stakeholders clearly. 5. Administrative Support Assist in preparing reports, presentations, and documentation for the design department. Manage stationery, resources, and materials required by the design team. Ensure the design workspace (digital and physical) is organized and efficient. Support in planning and organizing creative workshops or training sessions. Qualifications & Skills: Bachelor’s degree in Business Administration, Design Management, or a related field. 2–4 years of experience in administrative or operations support, preferably in a creative or educational organization. Excellent organizational, coordination, and multitasking skills. Strong data management and documentation abilities. Proficient in design software mandatory. Strong communication and time management skills. Attention to detail and ability to handle multiple priorities.
