The Telecalling Executive will be responsible for reaching out to schools, coordinators, and parents to promote and facilitate participation in SpellBee International’s programs. The role involves effective communication, data management, and relationship-building to ensure successful onboarding and engagement.
Job Summary: The Admin Executive supports the daily operational and academic activities of the institution. This role focuses on maintaining accurate data records, coordinating examinations, managing student files and documentation, and ensuring smooth administrative processes across departments. The Operations Administrator plays a key role in maintaining efficiency, accuracy, and compliance in all education-related operations. Key Responsibilities: 1. Academic & Exam Coordination Assist in organizing internal and external examinations (scheduling, room allocation, invigilation coordination, and result processing). Maintain accurate student assessment records and ensure timely submission of marks. Prepare exam timetables, attendance sheets, and reports for management and faculty. Liaise with academic staff for exam-related logistics and document handling. 2. Data Entry & Database Management Enter, update, and verify data in the student information system (SIS) or internal databases. Maintain accurate student records including admissions, attendance, grades, and certificates. Ensure data confidentiality and compliance with institutional policies. Generate data reports as required for academic or operational review. 3. File & Document Management Maintain and organize student and institutional files (digital and physical). Ensure proper filing and easy retrieval of academic and administrative documents. Track and archive old records according to data retention policies. Handle document requests from faculty, students, or management efficiently. 4. Operations & Administrative Support Support day-to-day operations including scheduling, logistics, and coordination among academic and support teams. Assist in preparing letters, reports, and communication materials for internal and external use. Ensure classrooms, resources, and materials are prepared for academic activities. Coordinate with IT and facilities teams to resolve operational issues promptly. 5. Communication & Coordination Act as a point of contact for faculty and students regarding administrative matters. Support internal communication for academic schedules, deadlines, and institutional notices. Collaborate with other departments to ensure accurate data flow and smooth operations. Qualifications & Skills: Bachelor’s degree in Business Administration, Operations Management, or a related field. 0–5 years of experience in operations or administrative support roles. Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in MS Office (Excel, Word, PowerPoint) and business management software (e.g., ERP, SAP, or CRM). Attention to detail and accuracy in documentation. Ability to work under pressure and meet deadlines.
