General Admin

Location: Tiruchirappalli

About the Role

We are looking for an experienced and dedicated General Admin to manage and oversee our daily administrative operations. The ideal candidate should have strong experience in office administration, facility management, vendor coordination, and compliance handling, ensuring smooth and efficient organizational support.

Key Responsibilities:

1. Rent Follow-up and Updating to Managing Director

  • Ensure timely follow-up with tenants for rent payments.
  • Maintain accurate records of rent payments and arrears.
  • Update the Managing Director (MD) regularly on rent collection status and any issues.

2. EB Payment Follow-up and Coordination

  • Monitor and ensure timely payment of electricity bills (EB) for all properties.
  • Coordinate with the electricity department for any discrepancies or issues.
  • Maintain records of EB payments and consumption.

3. Property Tax Payment and Coordination

  • Ensure timely payment of property taxes for all owned properties.
  • Coordinate with municipal authorities for assessments, bills, and clearances.
  • Keep updated records of property tax payments and deadlines.

4. General Maintenance of 138/13/Mathur Godown

  • Oversee the upkeep and maintenance of the 138 and 13 office, Mathur godown.
  • Ensure the premises are clean, safe, and functional.
  • Address any repair or maintenance issues promptly.

5. Handling a Team

  • Supervise and manage a team that includes:
  • Security Personnel: Oversee security arrangements and ensure safety protocols are followed.
  • Housekeeping Staff: Ensure cleanliness and hygiene standards are maintained.
  • Drivers: Coordinate schedules and ensure timely transportation services.
  • Optimize team performance through effective communication and coordination.
  • Address any team-related issues and ensure smooth workflow.

6. Maintenance of Official Vehicles

  • Ensure all official vehicles are in good working condition.
  • Schedule regular servicing and repairs as needed.
  • Maintain records of vehicle maintenance and expenses.

7. Regular Monitoring of Fuel and Vehicle Maintenance

  • Monitor fuel usage and ensure cost-effective practices.
  • Track vehicle maintenance schedules and ensure timely servicing.
  • Maintain logs of fuel consumption and vehicle performance.

8. Drivers' DA (Daily Allowance) Maintenance

  • Manage and disburse daily allowances for drivers as per company policy.
  • Co ordinate with accounts team to Maintain accurate records of DA payments and claims.

9. Genset and Electronics, Plumbing Coordination

  • Oversee the maintenance and operation of generators (gensets) and electronic equipment.
  • Coordinate with technicians for repairs and servicing of gensets, electronics, and plumbing systems.
  • Ensure all systems are functional and address any issues promptly.

10. Day-to-Day General Administration Duties

  • Perform routine administrative tasks as assigned by the management.
  • Ensure smooth operations of all facilities and services.
  • Act as a point of contact for any administrative or operational issues.
  • Implement and follow company policies and procedures.

Qualification & Skills

  • Minimum 10 years of experience in Administration, Office Management, or Facilities Management.
  • Strong knowledge of vendor handling, compliance processes, procurement, and budget management.
  • Excellent communication, coordination, problem-solving, and decision-making abilities.
  • Proficient in MS Office and administrative management tools.
  • Ability to multitask and work under pressure with high professionalism and confidentiality.
