Job Description

Job Summary

The Front Office Executive will be responsible for handling patient enquiries, managing front desk operations, supporting smooth patient flow, and ensuring excellent customer service. The role requires strong communication skills, pleasing personality, and the ability to handle a fast-paced hospital environment with professionalism.

Key Roles & Responsibilities1. Patient Reception & Registration

  • Greet patients and visitors courteously and guide them appropriately.
  • Handle patient registration, OPD billing, and appointment scheduling.
  • Coordinate with doctors for consultation timings and patient flow.
  • Assist patients in filling out forms and provide necessary information.

2. Front Desk Operations

  • Handle incoming calls, telephonic enquiries, and provide accurate information.
  • Maintain front office records, appointment lists, and daily reports.
  • Ensure cleanliness and orderliness of the front desk and waiting area.
  • Manage token system and ensure smooth flow of patients.

3. Billing & Documentation

  • Perform billing for consultations, procedures, diagnostics, and other services.
  • Maintain accurate cash handling and deposit records.
  • Ensure proper documentation and maintain patient confidentiality.

4. Customer Service & Communication

  • Address patient concerns or complaints and escalate when required.
  • Provide assistance to elderly, disabled, and emergency patients.
  • Coordinate with departments such as Nursing, Lab, Radiology, Pharmacy, and Insurance for patient needs.

5. Administrative Support

  • Maintain daily MIS reports and share with the management.
  • Assist in managing medical records and follow-up reminders.
  • Support admission and discharge processes when required.

Required Skills & Competencies

  • Excellent communication and interpersonal skills.
  • Strong customer service orientation.
  • Basic computer proficiency (MS Office, hospital software).
  • Ability to multitask and work under pressure.
  • Pleasant personality with positive attitude.
  • Time management and coordination skills.

Educational Qualification & Experience

  • Qualification: Any Degree (Preferably in Hospital Administration or related field).
  • Experience: 1–3 years of experience in hospital front office or customer service. Freshers with good communication skills may also apply.
  • Language Skills: Proficiency in English and Tamil required.
