Job Title: Front Office Executive

Department: Administration

Location: Vikhroli Ghatkopar , West Mumbai

Job Summary:

The Front Office Executive will be responsible for managing front desk operations, handling incoming calls, coordinating employee and guest travel arrangements, and ensuring smooth day-to-day administrative support. The role requires excellent communication skills, organizational abilities, and attention to detail in managing travel bookings and visitor interactions.

Key Responsibilities:

Front Office & Communication:

  • Handle all incoming calls promptly and route them to the concerned departments or personnel.
  • Manage reception duties — greeting visitors, handling inquiries, and maintaining visitor records.
  • Manage incoming and outgoing correspondence (emails, letters, and courier deliveries
  • Maintain a professional and welcoming front office environment.

Travel & Ticketing:

  • Arrange and book domestic and international travel — including train, bus, and air tickets — for employees, management, and guests as per company policies.
  • Coordinate hotel accommodations, cabs, and other travel logistics.
  • Maintain a record of all travel bookings, approvals, and related expenses.
  • Liaise with travel agents, transport vendors, and airlines for bookings and confirmations.
  • Support visa processing and travel documentation if required.

Administrative Support:

  • Manage conference room bookings, meetings, and appointments.
  • Maintain and update employee movement registers, visitor logs, and travel trackers.
  • Assist in managing office supplies, stationery, and vendor coordination.
  • Support the Admin or HR team in event coordination and other administrative tasks.

Key Skills & Competencies:

  • Excellent verbal and written communication skills.
  • Strong organizational and coordination skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Familiarity with online ticketing platforms (IRCTC, airline websites, travel portals).
  • Customer service orientation and professional demeanor.
  • Ability to multitask and work under pressure.

Education & Experience:

  • Bachelor’s degree in any discipline (preferred: Business Administration, Travel & Tourism, or related field).
  • 1–3 years of experience in front office, reception, or travel coordination roles.
  • Prior experience handling corporate travel bookings is preferred.
