Job Description

Front Office Management

1. Reception Management:

  • Serve as the first point of contact for visitors, clients, and employees.
  • Maintain a professional and welcoming environment at the reception area.

2. Call and Communication Handling:

  • Manage incoming and outgoing calls, emails, and messages efficiently.
  • Route inquiries to the appropriate departments or individuals.

3. Visitor Management:

  • Maintain the visitor log and issue visitor passes in compliance with security

protocols.

  • Coordinate and assist guests with necessary arrangements during their visit.

4. Facility Oversight:

  • Monitor the upkeep of the front office area, ensuring cleanliness and proper

t.

Travel Desk Management

1. Travel Bookings:

  • Handle end-to-end travel arrangements for employees, including booking flights,

trains, accommodation, and local transportation.

  • Research and recommend cost-effective and convenient travel options.

2. Travel Itineraries:

  • Prepare and share detailed travel itineraries with employees, including tickets,

hotel confirmations, and schedules.

  • Ensure all bookings comply with company policies.

3. Emergency Handling:

  • Coordinate travel changes, cancellations, or re-bookings in case of last-minute

emergencies or changes.

4. Expense Management:

  • Maintain and reconcile travel-related expenses, ensuring accurate recordkeeping

and timely submission for approvals.

Administrative Support

1. Documentation and Reporting:

  • Maintain records of travel bookings, approvals, and invoices for audits and

reporting purposes.

  • Assist in preparing periodic travel expenditure reports.

2. Vendor Coordination:

  • Liaise with travel agencies, hotels, and transport vendors to negotiate

competitive rates and establish reliable partnerships.

3. Support to Other Departments:

  • Assist in general administrative duties, including calendar management, meeting

coordination, and other office support tasks

Skills and Qualifications

• Educational Qualification: Min HSC Passed.

• Experience:

  • 2 to 4 years of experience in front office management or travel coordination.
  • Exposure to handling travel desks or administrative support roles is an

advantage.

• Technical Proficiency:

  • Proficiency in MS Office (Word, Excel, Outlook).
  • Familiarity with online travel booking platforms and tools.

• Communication Skills:

  • Strong verbal and written communication skills.

• Interpersonal Skills:

  • Friendly, approachable, and customer-service oriented.

• Time Management:

  • Ability to handle multiple tasks, prioritize effectively, and work under tight

deadlines.
