Job Description

We are looking for a well-organized and professional Front Office Admin Executive to manage daily administrative operations, handle front-desk responsibilities, and ensure smooth coordination across departments. The ideal candidate will be responsible for managing calls, visitors, pantry and courier services, and assisting in HR and admin-related activities.

Key Responsibilities:

Front Office Call Management:
Receive incoming calls and transfer them to the concerned person or department. Handle internal and external calls efficiently and maintain call logs. Manage front office supplies and inventory. Arrange appointments, meetings, and schedules. Greet and assist visitors and guests courteously. Visitor Guest Management: Welcome guests and visitors upon arrival. Arrange tea, coffee, and water for guests. Coordinate seating arrangements and lunch requirements in consultation with concerned staff. Pantry Management: Maintain stock of pantry items like tea, coffee, sugar, biscuits, etc. Ensure availability and proper upkeep of crockery and cutlery. Manage stock for WoW chocolate rewards. Supervise office boy during guest visits and daily office operations. Verify and process monthly tea and pantry invoices. Courier Management: Maintain daily records of incoming and outgoing couriers. Distribute couriers to respective departments and keep accurate records. Verify monthly courier invoices and resolve courier-related issues. Provide courier details as and when required. Library Management: Maintain library register and issue/return records of books. Send reminders for overdue books. Encourage employees to participate in reading activities.

Qualification Skills Required:

Computer Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)

Other Skills:

Good communication and writing skills Polite, well-groomed, and aware of corporate etiquette Strong organizational and multitasking abilities Ability to coordinate with multiple departments smoothly
