Job Description

You will be responsible for the smooth functioning of the front desk and administrative operations at Alpha Plus Technologies. Your key responsibilities will include: - Managing the front desk and attending to incoming calls, redirecting them to the concerned stakeholders - Welcoming and guiding visitors with their queries - Ensuring timely procurement and availability of stationery and other consumables as per office requirements - Managing contacts with office administration-related service providers - Ensuring timely renewal of service contracts and updating the AMC sheet for Office Assets - Arranging for repairs & maintenance of office equipment, electric fixtures, furniture & fixtures - Handling incoming & outgoing couriers and maintaining records - Maintaining availability and check-in, and check-out records of Library Books - Updating files, folders, and important documentation in office cupboards - Making arrangements for Air / Train tickets and Hotel bookings for Management executives - Overseeing Office Assistants & Driver in their day-to-day activities - Responsible for execution and implementation of the Quality Management System & Information Security Management System in your respective function - Providing feedback on corrective action required or general inputs on QMS Policies, Procedures, Guidelines, and Processes - Any other roles and responsibilities as suggested by Department Head and/or CEO Additionally, you will also be responsible for providing proactive and efficient secretarial & administrative support to the CEO. Your responsibilities will include: - Liaising with high-profile and senior personnel for external meetings - Managing daily meetings & calendar schedule for the CEO - Acting as a channel between the CEO & Senior management by coordinating internal meetings Qualifications Required: - Any Graduate with 2-3 years of experience - Basic Computer skills (MS-Office) are a must - A pleasing personality and excellent oral and written communication skills are pre-requisite - Quick learner Added Advantage Qualification / Skill-Sets: - Prior experience of 4-5 years in a similar job profile of Admin Executive and/or Personal Secretary/Personal Assistant to Management Executives - Self-initiator & approachable - Good understanding of Office Management - Good organizational and multi-tasking abilities,
