Job Description

Purpose of Role

  • To oversee, manage, and continuously improve all

    soft facilities services

    across the large campus ensuring the environment is clean, safe, welcoming, and supports the educational mission.
  • To lead teams and manage vendors delivering services like housekeeping, landscaping, security, catering, waste management, etc., maintaining high standards, cost-effectiveness, compliance, and stakeholder satisfaction.

Key Responsibilities

  1. Service Management & Delivery

    • Oversee daily operations of all soft services: cleaning/housekeeping, landscaping, pest control, security (visitor management, access control), catering/cafeteria, reception/concierge, laundry (if applicable), pantry, mailroom.
    • Establish and enforce service level agreements (SLAs) and performance benchmarks.
    • Conduct regular inspections and audits of services; ensure quality, hygiene, and safety standards are met.
    • Ensure cleaning schedules (daily, deep cleaning, periodic) are adhered to.
  2. Vendor & Contract Management

    • Identify, select, and manage service providers & contractors.
    • Negotiate contracts, monitor vendor performance, ensure compliance with contractual obligations.
    • Review and approve invoices, manage vendor payments, ensure value for money.
  3. Team Leadership & Staff Management

    • Lead in-house soft services teams (supervisors, staff) and oversee contracted staff.
    • Define training needs, implement training programs (for safety, hygiene, service standard).
    • Schedule staffing, monitor attendance, performance evaluation.
  4. Budgeting and Cost Control

    • Prepare and manage budgets for soft services, track expenditures vs. budget.
    • Identify cost-saving opportunities without compromising service quality.
    • Forecast resource requirements (labor, consumables, supplies).
  5. Health, Safety, and Compliance

    • Ensure all services comply with relevant local laws / regulations (e.g., health, environment, fire safety, food safety).
    • Maintain records-keeping as required (audit trails, safety inspections, waste disposal).
    • Facilitate and lead safety drills or response planning as needed.
  6. Stakeholder Management & Communication

    • Liaise with faculty, students, staff to understand service needs / feedback / grievances.
    • Coordinate with other facility management functions (hard services, infrastructure, maintenance) to ensure integrated operations.
    • Prepare and present reports (monthly/quarterly) on KPIs, service issues, improvement plans.
  7. Continuous Improvement & Innovation

    • Identify areas for improvement in operations, processes, staff productivity, sustainability (e.g., waste reduction, water / energy savings).
    • Introduce best practices / technology (facility management software, tracking systems).

Required Qualifications & Experience

  • Bachelors degree in Facility Management / Hospitality Management / Hotel Management / Business Administration or related field.
  • Extensive experience (preferably 8-12+ years) in facility management with a focus on

    soft services

    , especially in a large campus, university, or similarly sized institution.
  • Proven track record of managing large teams and multiple service contracts.
  • Experience in vendor negotiation, budget management, quality and audit compliance.
  • Strong knowledge of hygiene, safety, and regulatory standards (local and/or national).

  • Strong organizational, planning, and time-management skills; ability to multitask.
  • Strong problem-solving mindset; able to respond quickly to emergencies / service failures.
  • Excellent communication (verbal & written); ability to interact with diverse stakeholders.
  • Attention to detail and high standards of quality.
  • Proficiency in MS Office, facility management software / CAFM systems if available.
  • Familiarity with sustainability practices (waste, water, energy management).
