facilities management/property operations/regional administration

Role & responsibilities

Drive endtoend automation for Facilities and administration operations across a multi-branch network. This role sets up scalable systems for rent & lease tracking, asset maintenance, billing workflows, purchasing & distribution, utilities, and petty cash managementworking closely with Finance and Tech to design, implement, and continuously improve streamlined processes.

You will be responsible for

Rent & Lease Management

  • Automate rent payments, lease onboarding/boarding, renewals, and deadline reminders.
  • Maintain centralized repository for lease terms, escalations, notice periods, and compliance documents.
  • Track CAM/maintenance charges, reconciliations, and landlord settlements.

Asset Management & Maintenance

  • Implement systems to track equipment lifecycle, AMC/Warranty, preventive maintenance schedules, and repairs.
  • Establish vendor SLAs, ticketing, and uptime/MTTR reporting for critical assets (HVAC, DG, UPS, safety systems).

Billing & Finance Workflows

  • Automate invoice capture/generation, 2/3way approvals, and payment tracking aligned to cost centers.
  • Integrate with ERP/Finance tools for posting, audit trails, and monthend closures.

Purchasing & Distribution

  • Streamline PRPOGRN processes, vendor onboarding, rate contracts, and inventory tracking for consumables and spares.
  • Enable branch-level ordering through catalogs with budget controls and threshold alerts.

Utility Bills & Usage

  • Automate utility bill collection (electricity, water, telecom, internet), payment scheduling, and variance alerts.
  • Create usage dashboards and savings initiatives (e.g., demand management, energy efficiency).

Petty Cash Management (Large Branch Networks)

  • Standardize float limits, replenishment cycles, digital submissions, and approvals with audit trails.
  • Build exception reporting and periodic reconciliations with Finance.

Collaboration & Implementation

  • Partner with Finance and Tech teams to design workflows, choose tools, build integrations, and roll out solutions.
  • Conduct UAT, train branch admins, create SOPs, and ensure adoption; drive continual improvements.

Data, Reporting & Compliance

  • Build simple dashboards in Excel/Sheets for branches and management; publish monthly scorecards.
  • Ensure compliance with safety, statutory, and internal audit requirements; maintain documentation and controls.

Preferred candidate profile

Bachelors degree and experinec in Facilities/Property Management, or related field.
