Role Purpose

As the Executive - Front Desk & Admin, you will be the first point of contact for our clients, visitors, and team members. You will play a vital role in ensuring smooth office operations, providing administrative support, and maintaining a professional and welcoming office environment.

Key Responsibilities

Front Desk Management:

  • Greet and assist visitors, clients, and employees with warmth and professionalism.
  • Handle incoming calls, emails, and courier services efficiently.
  • Maintain visitor records and issue access passes as required.
  • Ensure the reception and waiting areas are tidy and reflect our brand standards.

Administrative Support:

  • Manage office supplies inventory and place orders when necessary.
  • Coordinate with vendors for maintenance, stationery, and office utilities.
  • Assist in organizing meetings, events, and travel arrangements.
  • Support HR and Admin teams with documentation, filing, and record-keeping.
  • Handle petty cash and maintain accurate expense records.

Office Coordination:

  • Liaise with housekeeping and security staff to ensure a safe and smooth office environment.
  • Monitor and manage office equipment (printers, projectors, conference rooms).
  • Assist in onboarding new employees by arranging ID cards, seating, and workspace setup.
  • Maintain employee attendance and leave records.
  • Ensure day-to-day office activities run seamlessly.

Who We’re Looking For

  • Education: Graduate in any discipline (preference for Business Administration, Hospitality, or Commerce).
  • Experience: 1–3 years of experience in front desk, reception, or administrative roles.
  • Skills:
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Positive attitude, problem-solving mindset, and ability to multitask.
  • Customer service orientation and a team player.
