Job Description

Position Overview

The Executive Assistant (EA) will provide high-level administrative, secretarial, and organizational support to the Chairman. This role requires discretion, strong communication, multitasking ability, and excellent organizational skills to ensure the Chairman’s office runs efficiently and effectively.

Key Responsibilities

Administrative Support

  • Manage the Chairman’s calendar, schedule meetings, and coordinate appointments.
  • Organize travel arrangements, itineraries, and accommodation.
  • Draft, review, and manage correspondence, emails, and official documents.
  • Prepare reports, presentations, and briefing materials as required.

Meeting & Event Coordination

  • Organize and coordinate board meetings, internal/external events, and conferences.
  • Record, compile, and distribute meeting agendas and minutes.
  • Follow up on action items and ensure deadlines are met.

Liaison & Communication

  • Act as the primary point of contact between the Chairman and internal/external stakeholders.
  • Screen calls, emails, and visitors, prioritizing matters that require immediate attention.
  • Maintain professional relationships with board members, senior management, and partners.

Confidentiality & Office Management

  • Handle sensitive and confidential information with integrity.
  • Maintain organized filing systems (digital and physical).
  • Ensure smooth functioning of the Chairman’s office.

Strategic Support

  • Assist in research, data gathering, and preparation of reports for decision-making.
  • Track deadlines, projects, and follow-ups to support strategic initiatives.
  • Provide input and support in special projects and initiatives.

Qualifications & Skills

  • Bachelor’s degree (Business Administration, Management, or related field preferred).
  • Proven experience (5+ years) as an Executive Assistant, Senior Secretary, or similar role.
  • Excellent communication skills (verbal & written).
  • Strong organizational and time-management abilities.
  • High level of discretion, professionalism, and confidentiality.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
  • Ability to multitask and work under pressure.
  • Strong problem-solving and decision-making skills.

Job Type: Full-time

Pay: ₹20,000.00 - ₹30,000.00 per month
