Job Description

As an Executive Assistant, you will be responsible for providing crucial support to the Managing Director (MD) by efficiently managing schedules, coordinating with various stakeholders, and handling confidential information. Your role will require a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously. Utilizing Google Sheets for tracking and organizing various aspects of the role will be essential to ensure seamless operations and communication. - Efficiently manage the MD's calendar, coordinating appointments, meetings, and travel plans. - Utilize Google Sheets to track and update schedules, ensuring all stakeholders are informed of changes. - Serve as a liaison between the MD and internal/external stakeholders. - Maintain positive relationships with staff, clients, and suppliers to facilitate smooth communication. - Handle sensitive information with discretion and confidentiality. - Prepare, review, and manage reports, presentations, and documentation. - Organize and track tasks related to Key Result Areas (KRA), Key Performance Indicators (KPI), and Minutes of Meetings (MOM) using Google Sheets. - Ensure timely follow-up on action items and deliverables. - Organize domestic and international travel arrangements, including flights, accommodations, and itineraries. - Ensure all travel plans are efficiently coordinated and communicated. - Assist with project research and data compilation as required. - Provide support in preparing project documentation and reports. - Plan and organize company events, ensuring all logistics are handled efficiently. - Coordinate with vendors and venues to ensure successful event execution. - Manage communication on behalf of the MD, including drafting emails and correspondence. - Prepare meeting agendas and take minutes, ensuring all follow-up actions are tracked in Google Sheets. - Address day-to-day challenges proactively, providing solutions and support as needed. - Collaborate effectively with team members to resolve issues and improve processes. **Qualifications:** - **Education:** - Bachelor's degree in Business Administration, Management, or a related field preferred. - **Experience:** - Proven experience as an Executive Assistant or in a similar administrative role. - Experience in managing schedules and coordinating with multiple stakeholders. - **Skills:** - Proficient in Google Sheets and other Google Workspace applications. - Excellent organizational and time-management skills. - Strong written and verbal communication abilities. - Ability to handle confidential information with integrity and discretion. - Strong problem-solving skills and attention to detail. - **Personal Attributes:** - High level of professionalism and interpersonal skills. - Ability to work independently and as part of a team. - Adaptable to changing priorities and able to manage multiple tasks simultaneously. The age requirement for this position is between 38 to 45 years.,
