Job Description

Responsibilities

  • Administrative Support:
  • Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming communications, including phone calls, emails, and correspondence.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and maintain files and records.
  • Meeting Coordination:
  • Plan, coordinate, and ensure the executive's schedule is followed and respected.
  • Arrange and coordinate meetings, including preparing agendas, taking minutes, and distributing follow-up action items.
  • Attend meetings and ensure the executive is prepared with necessary documents and information.
  • Travel Arrangements:
  • Organize and book travel arrangements, including flights, accommodations, and ground transportation.
  • Prepare detailed itineraries and ensure all travel documents are in order.
  • Communication:
  • Act as a liaison between the executive and internal/external stakeholders.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Draft and send out communications on behalf of the reporting manager.
  • Office Management:
  • Oversee office operations and administrative staff.
  • Ensure the office environment is well-maintained and supplies are stocked.

Requirement:

  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and prioritize effectively.
  • High level of discretion and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.

Qualifications and Education Requirements

  • Bachelor's degree in Business Administration, Communications, or related field preferred.
