Position Overview
We are seeking a proactive and detail-oriented Sales Coordinator cum Assistant to join our growing team. This role is vital in ensuring that the sales team functions smoothly, schedules are maintained, client communication is prompt, and internal processes are organized. The candidate will also play a supporting role to senior management in day-to-day tasks and follow-ups.
Key Responsibilities
Sales Coordination
- Prepare and send quotations, estimates, invoices, and proposals to clients.
- Maintain and manage sales documentation, including client files and contracts.
- Coordinate and confirm appointments, meetings, demos, and exhibitions.
- Track project timelines and sales targets and update relevant stakeholders.
- Follow up with potential and existing clients for feedback, delays, or issues.
- Manage incoming leads from Business Networks like BNI, LinkedIn, email, social media, Exhibitions and events.
- Assist in CRM data entry and ensure all leads, client communications, and tasks are up to date.
- Support inside sales activities including call preparation, lead research, and qualification.
- Collaborate with marketing and design teams for brochures, presentations, and client decks.
Executive Assistance
- Provide administrative support to management including travel planning, reporting, and follow-ups.
- Draft and manage professional email communications in English, Hindi, Gujarati.
- Keep team calendars updated and coordinate team-wide activities.
- Maintain confidentiality and ensure all records are accurate and well-organized.
- Assist in organizing team meetings, events, and inter-department coordination.
Requirements
- Graduate / Postgraduate / MBA
- Minimum 1 year of experience in customer care, sales coordination, business development, or as a secretary/assistant.
- Proficient in Microsoft Office (Email, Word, Excel, Outlook, PowerPoint), ChatGPT, and Gemini.
- Strong verbal and written communication skills in Gujarati, Hindi, and English.
- Ability to multitask, prioritize, and manage time effectively.
- Comfortable with making follow-up calls, managing partner communication, and lead qualification.
- Organized, reliable, problem-solving attitude with attention to detail.
- Familiarity with CRM tools and understanding of basic sales processes.
- Understanding of sales and marketing (online and offline) is an added advantage.
