Job Description

Senior and Executive Administration :

  • Managing All Day to day-to-day office Administration and Facility Support in the Corporate Office (Bangalore)
  • Daily Admin / handles multiple priorities and problem-solving.
  • Maintaining office which includes basement, ground plus 2 floors Office & Terrace floor
  • Vendor Management and Cost cost-saving planning
  • Work follow-ups and timely updates/reports for every work.
  • Handling all Municipal persons in every dept. for clearing office work by legal or settlement way
  • Handling Local authorities like Local Police/BBMP officers/Local Political parties & Etc.
  • All AMC & Contracts services for Company assets and inventory control.
  • Renewal of AMC's timely (AC, TV, UPS, and other Electrics Things),
  • Report and Database update as per management requirement (Admin and Other Report)
  • Admin Expense Records Weekly/Monthly / Quarterly/ Yearly
  • Saving Planning from Vendors/Staff Expenses/ Office Expenses like Maintenance etc.
  • Before Processing any order or any expenses for the company we take proper Approval from HOD.• Meeting room bookings and ensure other arrangements
  • Quote comparison, Cost Analysis & negotiation/PO processing & Internal approval process compliances
  • Coordination with Finance teams and invoice processing.
  • Preparing & tracking the monthly provision & Reports to the account
  • Guest House Management with proper Facilities for staff/guest
  • Company Car Maintenance and allotment as per Code and request for accounts.
  • Asset Management- Maintaining Asset list General equipment/ sending assets with Approval from HOD. & coordination with All Local Branches.
  • Responsible for ordering stationery printed kinds of stuff for Office Staff.
  • Daily supply of drinking water and check other sources of water
  • Pantry management and ensure cleaning of the same
  • Ensure upkeeping of restrooms and their maintenance
  • Office furniture repair and maintenance
  • Courier booking and POD follow-ups
  • Seating arrangements for employees and Guests
  • Zoha access and Inventory of Stationery and housekeeping materials
  • Ensure agreement renewals and rental invoice follow-ups.
  • Monitor and verify stationery bills and process the same for payment.
  • To maintain a record of receipts of items that are used to ensure accuracy and completeness.
  • To be involved in the reconciliation of physical stock for further ordering of stock and regular stationery materials.
  • Maintaining records of other assets of the company.
  • Petty cash handling and then bill and voucher submission.
  • Vendor Invoice process and payment follow-ups.
