Job Description

As an Event Operations Coordinator, your role involves assisting in the planning, execution, and evaluation of events with a focus on seamless integration of all logistical and operational elements. Your strong organizational skills, attention to detail, and ability to thrive in a fast-paced environment will be key to your success. Key Responsibilities: - Assist in developing event concepts, timelines, and action plans. - Coordinate with vendors, suppliers, and contractors to secure necessary services and resources. - Aid in the setup, operation, and teardown of events. - Ensure event operations comply with company policies and legal regulations. Logistics Management: - Manage event materials, equipment, and supplies logistics. - Coordinate transportation, accommodation, and catering services for staff and participants. - Oversee setup of event spaces, including seating arrangements, AV equipment, and signage. On-site Event Management: - Act as the main point of contact for on-site operations during events. - Supervise event staff and volunteers to ensure effective performance. - Handle on-site issues or emergencies promptly and efficiently. - Ensure adherence to the event schedule and adjust plans as needed. Vendor & Stakeholder Liaison: - Communicate with vendors and stakeholders to ensure deliverables are met. - Negotiate contracts and maintain vendor relationships. Post-Event Evaluation: - Assist in collecting and analyzing event feedback and metrics. - Participate in post-event debriefs to identify areas for improvement. - Coordinate return or disposal of event materials and equipment. - Prepare event reports and summaries for senior management review. Administrative Duties: - Maintain accurate records of event details, including budgets, invoices, and contracts. - Assist in creating and distributing event communications and marketing materials. - Support the Event Manager in budget tracking and financial reporting. Qualifications: - Education: Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field. - Experience: 2-4 years in event coordination, operations, or a similar role. - Skills: - Strong organizational and multitasking abilities. - Excellent communication and interpersonal skills. - Proficiency in event management software and MS Office Suite. - Ability to work under pressure and meet tight deadlines. - Attention to detail and problem-solving skills. - Flexibility to work evenings, weekends, and holidays as needed. Physical Requirements: - Willingness to travel for events, if required.,
