Event Production Executive

Job Title: Event Production Executive Department: Events & Production Location: Mumbai Job Summary: The Event Production Executive is responsible for managing the end-to-end production process of events — from planning and vendor coordination to on-site execution and post-event wrap-up. The role ensures that all technical, logistical, and design elements are delivered smoothly, on time, and within budget while maintaining quality standards. Key Responsibilities: 1. Event Planning & Coordination Understand client and internal team requirements for event setup and production. Prepare production plans, layouts, and timelines for each event. Conduct site visits and feasibility checks for venues. Coordinate with creative and client servicing teams for design and branding execution. 2. Vendor Management Source and finalize vendors for fabrication, sound, lighting, LED, truss, branding, printing, etc. Negotiate vendor rates and ensure delivery within timelines and budget. Maintain a vendor database with updated pricing and service quality records. 3. On-Ground Execution Supervise event setup, installation, and dismantling activities. Ensure proper placement of branding, stage design, and production elements. Handle any on-site production or technical issues efficiently. Coordinate with logistics, hospitality, and technical teams during the event. 4. Budget & Documentation Prepare event production budgets and get necessary approvals. Track expenses and maintain cost control throughout production. Ensure all vendor bills and work orders are documented accurately.
