1.

  • Manage and maintain the MDs calendar, scheduling meetings, appointments, and travel arrangements.
  • Coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.

2.

  • Act as the first point of contact for the MD, handling phone calls, emails, and correspondence with professionalism.
  • Draft, proofread, and edit documents, presentations, and reports as needed.
  • Facilitate communication between the MD and other departments or external stakeholders.

3.

  • Organize and prioritize tasks to ensure the MDs day-to-day operations run smoothly.
  • Prepare and manage confidential documents and information.
  • Handle expense reports, office supplies, and other administrative functions.

4.

  • Assist in the planning and execution of special projects and initiatives as directed by the MD.
  • Coordinate cross-functional teams and track project progress to ensure deadlines are met.

5.

  • Plan and coordinate internal and external events, including business meetings, conferences, and corporate events.
  • Manage logistics such as venue arrangements, catering, and audiovisual equipment.

6.

  • Arrange domestic and international travel, including flights, accommodations, and transportation for the MD.
  • Prepare travel itineraries and ensure all necessary documentation is in place.

7.

  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Maintain confidentiality regarding company operations, employee matters, and proprietary information.

8.

  • Compile and prepare reports, presentations, and documentation for meetings and decision-making processes.
  • Ensure accurate and timely submission of reports and documents.

9.

  • Oversee office supplies and equipment, ensuring the office environment is well-maintained and functional.
  • Liaise with facilities management for any office maintenance or repairs needed.
