Job Description

Job Title: Delivery Coordinator

Department: Sales

Location: Thane

Reporting To: Sales Manager

Job Summary:

The Delivery Coordinator is responsible for managing the end-to-end vehicle delivery process, ensuring a smooth, error-free, and delightful experience for customers. The role involves coordination between sales, accounts, RTO, accessories, and other departments to ensure all formalities are completed before handover of the vehicle.

Key Responsibilities:

  • Plan and coordinate vehicle deliveries as per the sales teams schedule.
  • Ensure all pre-delivery formalities are completed, including RTO registration, insurance, invoicing, and payment clearance.
  • Verify delivery checklist, including vehicle preparation, accessories fitment, PDI (Pre-Delivery Inspection), and documentation.
  • Coordinate with customers regarding delivery time, date, and special requests.
  • Arrange delivery ceremonies (welcome kit, bouquet, photographs, etc.) to enhance customer experience.
  • Ensure accurate and complete handover of documents such as RC, insurance, warranty booklet, owners manual, invoices, etc.
  • Liaise with finance, RTO and other teams to resolve pending cases or discrepancies.
  • Maintain delivery records and update DMS/CRM systems.
  • Collect customer feedback post-delivery and support the CSI (Customer Satisfaction Index) improvement.
  • Handle escalations and complaints related to delivery processes.

Qualifications & Skills:

  • Graduate in any discipline (Automobile background preferred).
  • 25 years of experience in sales coordination, delivery, or customer service in the automobile sector.
  • Strong organizational and coordination skills.
  • Good communication and customer-handling abilities.
  • Proficiency in MS Office,CRM, and dealership management systems.
  • Pleasant personality with attention to detail.

Key Performance Indicators (KPIs):

  • Timely delivery of vehicles as per schedule.
  • Accuracy and completeness of delivery documentation.
  • Customer satisfaction / CSI scores during delivery process.
  • Reduction in delivery-related complaints or delays.
  • Number of error-free deliveries completed.
