Job Description

Position Objective

operational, legal, and administrative affairs

Key Responsibilities

Operational Management

  • Oversee daily building operations including housekeeping, security, maintenance, plumbing, electrical, lift operations, and waste management.
  • Supervise vendor contracts, AMC renewals, and ensure timely service delivery.
  • Conduct routine facility inspections and ensure preventive maintenance schedules are adhered to.
  • Coordinate with residents and committee members for building-related matters, ensuring smooth communication and timely resolution of issues.
  • Maintain records for service providers, inventories, and equipment.

Legal & Compliance Management

  • Ensure compliance with the

    Maharashtra Cooperative Societies Act

    ,

    bye-laws

    , and other relevant housing regulations.
  • Liaise with government departments, municipal authorities, and statutory bodies for NOCs, licenses, renewals, and related documentation.
  • Handle legal matters such as property disputes, vendor issues, or statutory notices under the guidance of the managing committee or legal advisors.
  • Prepare and maintain all statutory records, AGM/GBM minutes, and other legal correspondence for the society.
  • Assist in drafting and reviewing service contracts, tenders, and legal documents related to society operations.

Financial & Administrative Responsibilities

  • Work closely with the Treasurer/Managing Committee on budgeting, expense tracking, and cost optimization.
  • Review vendor invoices and ensure proper verification before submission for payment.
  • Identify and implement cost-saving opportunities without compromising service quality.
  • Maintain updated records of insurance, property tax payments, utility bills, and related documents.

People & Vendor Management

  • Lead the on-ground support team (security, housekeeping, maintenance staff) ensuring discipline, efficiency, and accountability.
  • Coordinate with external agencies, contractors, and consultants for ongoing or new projects.
  • Handle grievance management for residents with professionalism and empathy.

Desired Profile

  • Minimum

    10 years of experience

    in managing residential/commercial complexes or cooperative societies.
  • Strong understanding of

    legal, operational, and financial aspects

    of housing society management.
  • Excellent communication, negotiation, and stakeholder management skills.
  • Proficiency in MS Office and basic accounting/ERP tools.
  • Exposure to dealing with statutory authorities such as BMC, Fire, Electricity Board, and Police Department.

Educational Qualification

  • Graduate in any discipline.
  • Additional certification or diploma in

    Property Management, Facilities Management, or Legal Administration

    will be preferred.
