Bidding Executive (Tender Executive)

Key Responsibilities

• Manage the complete tendering process, including evaluation, preparation, submission, and follow-up after submission.
• Review and respond to Requests for Proposals (RFPs), Requests for Quotations (RFQs), and Expressions of Interest (EOIs) issued by government bodies such as the Ministry of Defence (MoD), Ministry of Home Affairs (MHA), and associated agencies.
• Prepare detailed technical and commercial proposals in compliance with tender specifications and requirements.
• Attend and document pre-bid meetings, and coordinate clarification requests with government stakeholders.
• Upload and manage tender documents on platforms such as GeM (Government e-Marketplace), e-Procurement portals, and department-specific systems (MoD/MHA).
• Manage product and service catalogues, ensuring updates and compliance on procurement portals.
• Ensure adherence to government procurement policies, including Defence Procurement Procedure (DPP), offset guidelines, and MHA procurement norms.
• Maintain systematic documentation and records of all tender-related correspondence, clarifications, and submissions.
• Coordinate with internal teams (legal, technical, finance, and commercial) to prepare accurate and compliant tender documents.

Qualifications

• Graduation
• Strong communication skills (written and verbal).
• Basic understanding of government procurement processes (preferred but not mandatory).
• Proficiency in MS Office (Word, Excel, PowerPoint) and internet-based research.
• Ability to learn quickly, work under deadlines, and pay close attention to detail.
• Fresh graduates or candidates with up to 1 year of experience in bidding/tendering are encouraged to apply.
