Role Overview

Procurement, Vendor Management, Inventory Planning, and Warehouse Operations

Key Responsibilities

Procurement & Strategic Sourcing

  • Oversee daily purchase operations including PR review, vendor communication, approvals, and escalations.
  • Collaborate with Project, Service, Sales, SOC, and Testing teams for accurate and timely procurement.
  • Participate in project kick-off meetings to understand BOQs, timelines, and material specifications.
  • Guide the team on sourcing strategies, vendor approaches, and PR evaluations.
  • Lead commercial negotiations on pricing, payment terms, credit periods, and delivery schedules.
  • Evaluate, onboard, and develop new vendors; coordinate product evaluation with Sales & Technical teams.
  • Conduct cost analysis, commercial comparisons, and prepare approval notes for management.
  • Approve Purchase Orders (POs) in line with company policies and budgets.

Vendor Management

  • Build and maintain strong vendor relationships and review vendor performance regularly.
  • Conduct final checks and approvals of vendor invoices before submission to Finance.
  • Ensure timely vendor payments by coordinating with Accounts.
  • Conduct vendor site visits to review production readiness, quality, and delivery commitments.
  • Attend industry exhibitions and trade shows to stay updated on market trends and technologies.

Warehouse & Inventory Management

  • Oversee end-to-end warehouse operations including GRN, storage, dispatch, and inventory accuracy.
  • Ensure effective material planning, stock forecasting, and optimum inventory levels.
  • Implement warehouse process improvements, safety norms, and ISO-compliant practices.
  • Coordinate with Project & Service teams to meet site-wise material requirements.

Team Leadership & Governance

  • Train and mentor Purchase & Warehouse teams on products and processes.
  • Monitor attendance, leave, discipline, and overall team behaviour.
  • Define KPIs, performance benchmarks, and ensure high productivity.

Risk, Compliance & Audits

  • Conduct risk assessments related to procurement, vendors, and material availability.
  • Prepare and present MIS reports to the HOD and CEO.
  • Handle internal audits, external audits, and ISO audits with complete documentation and compliance.

Skills & Competencies

  • Strong negotiation and vendor management skills
  • In-depth knowledge of procurement, supply chain, and warehouse operations
  • Excellent analytical, costing, and commercial evaluation abilities
  • Proven leadership and team-handling skills
  • Sound understanding of ISO standards and audit compliance
  • Strong communication and cross-functional coordination skills
  • Decision-making and risk assessment capability
