Job Description

Role Summary

The Assistant Manager Procurement is responsible for managing and supporting the procurement of materials and negotiation. The role focuses on vendor management, cost optimization, timely purchasing, and ensuring compliance with company policies and quality standards.

Key Responsibilities

1. Procurement Operations

  • Manage the end-to-end purchasing process: RFQ, evaluation, negotiation, purchase order creation, and order follow-up.
  • Source reliable suppliers and maintain an updated vendor database.
  • Ensure timely procurement of materials as per operational requirements.

2. Vendor Management

  • Build and maintain strong relationships with vendors.
  • Evaluate vendor performance based on quality, cost, delivery, and compliance.
  • Negotiate pricing, terms, and service agreements to achieve cost savings.

3. Cost & Budget Management

  • Analyze procurement spend and identify opportunities for cost reduction.
  • Support the preparation of procurement budgets and forecasts.
  • Implement strategies for cost-effective purchasing without compromising quality.

4. Compliance & Documentation

  • Ensure all purchases adhere to company policies, quality standards, and regulatory guidelines.
  • Verify and maintain contracts, purchase records, and audit documentation.
  • Coordinate with the finance team for invoice verification and timely payments.

5. Coordination & Cross-Functional Support

  • Collaborate with operations, finance, logistics, and warehouse teams.
  • Resolve issues related to delayed deliveries, quality discrepancies, and supplier disputes.
  • Support continuous improvement initiatives for procurement efficiency.

6. Reporting & Analysis

  • Prepare weekly/monthly procurement reports and dashboards.
  • Track key procurement metrics: cost savings, delivery performance, and supplier ratings.
  • Ensure transparent communication with management on procurement status.

Qualifications

  • Bachelor’s degree in Supply Chain, Business Administration, Engineering, Commerce, or related field.
  • 5–8 years of procurement experience (industry-specific experience is a plus).
  • Strong negotiation and vendor management skills.
  • Proficiency in ERP systems (SAP / Oracle / Tally / any procurement software).
  • Strong analytical, communication, and problem-solving abilities.
