Job Description

Role & responsibilities

We are seeking a proactive and detail-oriented Assistant Admin Manager to support the smooth functioning of daily office operations. The ideal candidate will have hands-on experience in event management, office coordination, managing office boys/housekeeping staff, and handling day-to-day administrative tasks to ensure a productive and well-organized workplace environment.

Key Responsibilities

1. Office Administration

  • Oversee day-to-day office operations and ensure the workplace is well-maintained.
  • Manage office supplies, vendor coordination, and procurement of materials.
  • Assist in preparing administrative reports, documentation, and record-keeping.
  • Coordinate repairs, maintenance, and service activities as required.

2. Staff Supervision

  • Supervise office boys, housekeeping teams, and support staff.
  • Assign daily tasks and ensure timely completion with quality standards.
  • Monitor staff performance and maintain discipline and efficiency.

3. Event & Meeting Management

  • Plan, organize, and execute internal and external corporate events.
  • Coordinate logistics for meetings, conferences, workshops, and employee activities
  • Manage vendor relationships for event supplies, catering, and setups.

4. Coordination & Communication

  • Act as the point of contact for internal and external administrative matters.
  • Support teams with scheduling, travel arrangements, and facility bookings.
  • Ensure smooth communication between departments and management.

5. Compliance & Safety

  • Ensure office premises comply with safety, hygiene, and housekeeping standards.
  • Monitor and maintain checklists for daily housekeeping and facility upkeep.
  • Assist with audits related to administration, facility, and safety protocols.

Required Skills & Qualifications

  • Minimum

    2 years of experience

    in office administration or similar roles.
  • Strong experience in

    event management

    and internal coordination.
  • Ability to manage

    housekeeping staff and office boys

    effectively.
  • Excellent organizational, multitasking, and time-management skills.
  • Good communication and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Problem-solving mindset and ability to work independently.

Preferred Attributes

  • Experience in facility management or vendor management.
  • Strong attention to detail with a proactive approach.
  • Ability to handle urgent tasks and manage multiple priorities.
