Location: Remote (India)

Compensation: ₹25,000 - 30,000 INR per month

Shift: Early Morning / Day Shift

About the Role

We are seeking a dependable and highly professional Virtual Medical Assistant (VMA) with experience in front desk operations and after-hours medical office calling for a US-based medical practice. The ideal candidate will have 2–3 years of relevant experience, strong communication skills, and the ability to work independently while maintaining accuracy and compassion in patient interactions. A medical background is preferred.


You will play a critical role in ensuring smooth communication between patients and clinic providers by managing calls, documenting accurately, and following established triage protocols.

Key Responsibilities

  • Handle incoming patient calls with professionalism, empathy, and a patient-first approach.
  • Assess caller needs and provide appropriate responses based on clinic guidelines and protocols.
  • Escalate urgent issues to the on-call provider and ensure timely follow-up when required.
  • Manage appointment scheduling, cancellations, and rescheduling based on clinic preferences.
  • Document all patient interactions clearly and accurately within the EHR system.
  • Review and update patient charts as needed to support care coordination.
  • Assist with medication refill requests, message forwarding, and administrative tasks.
  • Maintain confidentiality and compliance with HIPAA and clinic policies.
  • Communicate effectively with providers and clinic staff to ensure seamless operations.
  • Identify recurring issues and communicate trends to leadership for process improvement.
  • Demonstrate strong judgment and decision-making in navigating patient concerns after hours.

Requirements

  • 2–3 years of experience as a front desk medical assistant, virtual medical assistant, or in after-hours medical office calling (US-Based Medical Practice)
  • Medical background preferred
  • Excellent spoken and written English communication
  • Strong proficiency in EHR navigation and documentation
  • Ability to multitask, prioritize, and manage high call volumes
  • Strong problem-solving skills and attention to detail
  • Ability to follow protocols accurately
  • Reliable internet connection and a quiet, professional remote workspace
  • High level of professionalism, punctuality, and accountability
