Job Description

Summary of work Environment and Work performed:

  • The Executive - Administration is responsible for the matters related to the administration activities/facilities management of the Hyderabad office and co of all administration ac-ordination for all administrations activities with other offices as needed and given below. Responsibilities include:
    • Managing and maintaining the office infrastructure for Hyderabad office
    • Managing various contracts related to the offices (rent contract, housekeeping contract, security agency contract and other service contracts)
    • Ensuring timely renewal of all such contracts
    • Ensuring competitive rates for all such contracts and competitive rates for all other products and services with all administration and facilities related vendors
    • Ensuring timely payment to all the contractors/vendors
    • Providing mobile phone SIM card/data card to the eligible employees
    • Managing the mobile phone service provider across the office locations
    • Preparing and submitting the monthly MIS for administration activities/costs and status of existing and initiatives.

Specific Duties:

  • Managing Space Matrix, Space utilization, occupancy for Hyderabad office after discussion with seniors.
  • Managing Administration billing and Purchase Order System for various vendors on a PAN India basis.
  • Managing printing stationery letterheads/Envelopes/ID cards and other printing requirements for all our offices.
  • Monitoring & Managing Access Control Systems and CCTV cameras for Hyderabad location.
  • Ensuring cleanliness and facility infrastructure upgradation/co-ordination with building management as required, to ensure repairs/maintenance is up-to date for professional working environment for employees.
  • Taking stock of inventory of office supplies
  • Handling incoming and outgoing courier effectively

  • Able to work under pressure when needed

Experience:

  • 3-6 yrs of experience in overall office administration/facilities management/vendor management.
  • Experience in travel management is an added advantage.
