Job Description

Role & responsibilities

  1. Oversee all incoming and outgoing communications, including emails, Calls, Memos, and correspondence meant for the director associated with.
  2. Maintain the Directors Calendar, Organise Director Meetings, Appointment and manage invitation and reminders.
  3. Plan and book travel (Flight, Hotels, Transportation), prepare itineraries and manage and travel changes.
  4. Prepare, organise, file and retrieve reports, presentation and important records for the director.
  5. Organise logistics, Prepare agenda, take minutes, and ensure effective follow ups on decision and actions
  6. To look after all personal / domestic requirements, family responsibilities, appointments, travel plans of the associated director.
  7. To maintain Confidentiality of all communication, documents, intentions, plans which you come across.

Prime responsibilities :

  1. Gate Keeping : Act as a primary point of contact between the Director and internal/ External stakeholders. Filter and prioritize communication to ensure the Director focuses on strategic matters only.
  2. Executive Support: Anticipate the Directorss need, Proactive resolve scheduling or administrative conflict and provide solution to time sensitive issues.
  3. Confidentiality and discretion: Handling all sensitive information, communication and decision with the highest level of professionalism and discretion.
  4. Project and deadline Management : Trach progress on Director led projects and ensure timely completion of key deliverables.
  5. Any other work as entrusted upon from time to time as per the requirement
  6. The responsibilities and location may change as per the discretion of the management.
  7. To work in sync with EA-2.

Ancillary responsibility

  1. Expense Management : Prepare, submit and reconcile expense reports for the Director
  2. Office administration: Order Supplies, Maintain equipment, and support basic office logistics for the Director's work space.
  3. Research and Reporting: Conduct research as requested, gather data, and prepare reports or presentations to support the Directors’s initiatives.
  4. Event planning: support planning and execution of both internal and external company events, conferences and functions
  5. To take over all responsibility of EA-2 in his/her absence or if desired by the management.
  6. Any other work as entrusted upon from time to time as per the requirement
  7. The responsibilities and location may change as per the discretion of the management.
