Job Description

Position Summary

The Accounts Payable Specialist is responsible for managing and processing vendor invoices, ensuring timely and accurate payments, maintaining financial records, and supporting month-end close activities. This role requires strong attention to detail, excellent organizational skills, and the ability to communicate effectively with vendors and internal departments.

Key Responsibilities

Invoice & Payment Processing

  • Receive, review, and process invoices in accordance with company policies.
  • Verify accuracy of invoice amounts, purchase orders, and approvals.
  • Enter invoices into the accounting system and match with supporting documentation.
  • Prepare weekly or scheduled payment runs (ACH, check, wire).
  • Resolve invoice discrepancies and communicate with vendors to clarify issues.

Vendor Management

  • Maintain vendor database and ensure accurate information for payments.
  • Respond to vendor inquiries professionally and in a timely manner.
  • Reconcile vendor statements and research outstanding items.

Recordkeeping & Reporting

  • Maintain organized and accurate AP files and documentation.
  • Assist with monthly, quarterly, and year-end closing processes.
  • Prepare AP-related reports for management as needed.
  • Support audits by providing requested documentation.

Compliance & Process Improvement

  • Ensure adherence to internal controls and company procedures.
  • Identify opportunities for process improvement and automation.
  • Support implementation of AP system upgrades or workflow enhancements.

Required Skills & Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree in accounting or finance preferred.
  • 1–3+ years of accounts payable or general accounting experience.
  • Proficiency with accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite).
  • Strong Excel and data entry skills.
  • High degree of accuracy and attention to detail.
  • Excellent communication and problem-solving skills.
  • Ability to manage time effectively and meet deadlines
