Job Description

We are looking for a detail-oriented and proactive Accounts & Operations Executive to manage daily accounting tasks, operational coordination, and documentation for our staffing and consulting business. The ideal candidate should be highly organized, comfortable handling numbers, and able to manage communication across customers, vendors, and internal teams.

Key Responsibilities

Accounts & Finance

Create Vendor Invoices and update internal sheets after verifying consultant timesheets.

Create and send Customer Invoices and maintain accurate invoice logs after timesheet verification.

Track receivables and payables, ensuring timely follow-ups.

Apply and record payments for both Vendor Payables and Customer Receivables.

Maintain invoice reminders and send follow-up communication for pending payments.

Enter credit card statements into Intuit (QuickBooks).

Enter expenses into Intuit and ensure proper categorization.

Create invoices against remittances received from clients and apply payments accordingly.

Track employee leaves and calculate payroll.

Release payroll for office employees.

Estimate, record, and maintain offshore office expenses.

Operations & Documentation

Handle onboarding documentation such as MSAs, Purchase Orders, vendor forms, and other required agreements with customers, clients, and consultants.

Maintain all invoices, timesheets, and documentation systematically and securely.

Ensure all communications are properly documented and shared with the reporting manager/superior.

Maintain and update a list of office assets regularly.

Business Coordination

Communicate professionally with customers, vendors, and consultants.

Check for bid opportunities on portals like Cal eProcure, SMUD, and other relevant websites.

Support internal teams with coordination related to accounts, onboarding, and compliance.

Required Skills

Basic to intermediate knowledge of accounting (QuickBooks/Intuit preferred).

Good communication skills (email + verbal).

Strong attention to detail and ability to maintain accurate records.

Proficiency with Excel/Google Sheets.

Ability to manage multiple tasks independently.

Understanding of invoicing, payroll, and financial tracking.

Preferred Qualifications

Bachelor’s degree in Commerce, Business Administration, Finance, or related field.

Experience in staffing, consulting, or service-based businesses (preferred but not mandatory).

Familiarity with US accounting terms (beneficial).

Job Type: Full-time

Pay: ₹8,607.04 - ₹20,000.00 per month
