Position Name: Warehouse Executive - Tea.

Position Overview:

The Warehouse Incharge is responsible for efficient management and operation of the warehouse within the tea factory. The role involves ensuring proper storage, handling, inventory control, and timely distribution of Tea raw materials. Managing warehouse activities, coordinating with production teams and ensuring compliance with safety and quality standards. Issue Material for tea blending. This role ensures that the right materials are available, properly stored, and accurately issued to the blending department in a timely and controlled manner, maintaining optimal inventory levels and supporting the production schedule.

Key Responsibilities:

Warehouse Operations Management:

  • Oversee the daily operations of the warehouse, ensuring that inventory is stored, tracked, and dispatched efficiently.
  • Ensure proper organization of raw materials (tea leaves, packaging, etc. ) and finished products.
  • Implement proper material handling techniques to avoid damage and ensure the integrity of the products.
  • Supervise warehouse staff, including receiving, storage, and dispatch personnel.

Inventory Management:

  • Manage inventory levels for raw materials, in-process goods, and finished products to ensure adequate stock for production needs and timely deliveries.
  • Perform regular stock audits and reconcile any discrepancies between actual and recorded inventory.
  • Implement a first-in, first-out (FIFO) or first-expired, first-out (FEFO) system for product rotation, ensuring minimal wastage, especially for perishable items.
  • Track and manage stock movements, report shortages, and assist in procurement planning.

Documentation and Reporting:

  • Maintain accurate records of all inbound and outbound goods.
  • Prepare daily, weekly, and monthly reports on inventory levels, stock movements, and warehouse performance.
  • Maintain proper documentation for goods receipt, dispatch, and inventory adjustments.
  • Provide regular updates to the management team regarding warehouse status and operational issues.

4. Storage & Organization of Raw Materials:

  • Ensure proper storage of raw materials (e. g. , tea leaves, additives, flavorings) in designated areas within the warehouse to maintain quality and freshness.
  • Implement best practices for labeling, shelving, and segregating materials to avoid mix-ups and contamination.
  • Ensure that the materials are stored according to quality and safety standards, such as avoiding exposure to moisture or pests.

Coordination with Production & Blending Teams:

  • Work closely with the production and blending teams to understand their specific material needs for upcoming batches.
  • Communicate any discrepancies or issues related to material availability to the production and blending teams to prevent production delays.
  • Track and prioritize the issuance of materials based on production schedules and blending requirements.
  • Support the blending team with any special material requirements or urgent orders.

6. Safety & Compliance:

  • Ensure that all materials are handled and stored in compliance with safety and hygiene standards, especially for food-grade materials.
  • Follow all factory safety protocols and ensure that warehouse staff are trained on safe material handling practices.
  • Ensure compliance with relevant industry regulations and standards for material handling, storage, and distribution.

7. SAP and Inventory System Management:

Use SAP software for the daily management of inventory, including the creation of Purchase Orders (PO) for replenishing stocks.

Update stock levels in real-time, generate regular inventory reports, and monitor stock trends to anticipate future needs.

Ensure that SAP data is accurate and consistent, and work with the Finance or Purchasing department to reconcile any discrepancies during audits.

Process Goods Receipt Notes (GRN) in SAP when receiving deliveries, ensuring that all goods are accounted for and matched with POs.

8. Stock Audits and Reconciliation:

Conduct regular physical stock audits to reconcile actual inventory with SAP records, ensuring no discrepancies.

Assist in the preparation and execution of annual or periodic stock audits.

Investigate and resolve discrepancies between physical counts and system records, reporting any issues to the management team.

9. Waste Control and Loss Prevention:

Monitor and minimize the use of consumables to reduce waste (e. g. , toiletries, linens, towels).

Implement strict procedures to control the loss of goods, ensuring proper handling, storage, and security of supplies.

Dispose of or return defective or outdated items as per company policy.

Qualifications:

  • Education:

    Any Graduate, PG, MBA, Degree in Hospitality.
