Job Title: Virtual Assistant (US Accounting & Recruitment Operations)

Location: Remote or Hybrid or Onsite.
Shift: Night Shift | US EST Time Zone (7:30 PM to 4:30 AM IST)
Employment Type: Full-Time

About the Role:

We are looking for a detail-oriented Accounting & Recruitment Operations Associate to support our USA-based business operations. The role involves invoice generation, payment collection, administrative coordination, and assisting our recruitment team with job postings and sourcing.

The ideal candidate should have a background in basic accounting or finance, strong attention to detail, and a willingness to take on multi-functional administrative tasks.

Key Responsibilities:

Accounting & Administrative Support

  • Generate and send invoices to US clients on a regular schedule.
  • Track outstanding invoices and follow up on pending payments.
  • Record received payments and reconcile transactions in internal systems.
  • Maintain up-to-date financial records and payment reports.
  • Support monthly and quarterly reporting for management.
  • Handle general administrative tasks related to client accounts and documentation.

Recruitment Operations

  • Post job openings on various job boards, portals, and social media.
  • Source potential candidates using LinkedIn, Indeed, and internal databases.
  • Organize resumes and update applicant tracking sheets.
  • Coordinate with recruiters for interview scheduling and follow-ups.
  • Ensure all job postings and pipelines are kept current.

Coordination & Communication

  • Communicate effectively with US-based clients and internal teams during EST hours.
  • Manage email correspondence, reporting, and task tracking efficiently.
  • Collaborate with the leadership team to streamline operations and support business growth.

Qualifications & Skills:

  • Bachelor’s degree in Accounting, Commerce, Business Administration, or related field.
  • 5+ years of experience in accounting, invoice management, or administrative coordination.
  • Familiarity with tools such as QuickBooks, Excel, or Google Sheets.
  • Good understanding of basic bookkeeping and payment collection.
  • Prior exposure to staffing or recruitment operations preferred.
  • Excellent English communication skills (written and verbal).
  • Comfortable working independently during US EST night shift.
