The IT Vendor Management Analyst is responsible for supporting the full lifecycle of third-party IT vendors, including procurement, onboarding, contract administration, performance monitoring, SLA reporting, issue management, and coordination between internal teams and suppliers. The role requires strong documentation, communication, and analytical skills, as well as the ability to work with cross-functional stakeholders.
Key Responsibilities
Vendor Lifecycle Management
- Support RFI/RFP activities, proposal evaluations, and vendor selection processes
- Oversee procurement process of IT vendors
- Process payment of invoices from IT vendors
- Coordinate vendor onboarding requirements (documentation, access, compliance)
- Maintain vendor profiles, contract repositories, and renewal trackers
- Assist in vendor offboarding and ensuring proper termination procedures
Performance Monitoring & Reporting
- Track SLA/KPI metrics and vendor scorecards
- Prepare monthly/quarterly vendor performance reports
- Monitor contract deliverables and project milestones
- Identify recurring issues and escalate when necessary
Contract Administration
- Review SOWs, MSAs, SLAs, and contract terms (non-legal review)
- Validate invoices against contract terms and POs
- Track consumption vs. contract scope (licenses, hours, storage, etc.)
- Support contract renewal and negotiation preparations
Risk & Compliance Support
- Participate in vendor due diligence and annual risk reviews
- Collect compliance documents (ISO 27001, SOC 2, GDPR/PDPA items)
- Track remediation plans for vendor issues or risks
- Ensure vendors follow internal policies, governance rules, and security standards
Stakeholder & Relationship Management
- Serve as the liaison between internal teams and vendors
- Schedule and lead operational/vendor review meetings
- Document meeting minutes, action items, and follow-ups
- Maintain escalation logs and coordinate issue resolutions
Required Skills & Qualifications
- 1-5 years of experience in vendor management, procurement, business analysis, project coordination, operations, customer success, or related field
- Strong understanding of SLAs, KPIs, and performance reporting
- Ability to read contracts (MSA, SOW, SLA) at a business-operations level
- Strong communication and stakeholder management skills
- Excellent documentation skills (SOPs, trackers, reports)
- Good analytical ability; strong Excel/Google Sheets ability
- Familiarity with procurement or CLM tools (Ariba, Coupa, SAP, Oracle, ServiceNow) is a plus
- Basic understanding of cybersecurity and data privacy requirements is a plus
