Job Summary:-
The Secretary to the Vice Chancellor plays a pivotal role in supporting the Vice Chancellor in the smooth functioning of the office and ensuring that daily operations are carried out efficiently. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Secretary will manage communications, schedules, correspondence, and other administrative duties, serving as a liaison between the Vice Chancellor and various internal and external stakeholders.
Key Responsibilities:
Administrative Support:
* Managing their calendar, scheduling meetings, and organizing travel arrangements.
* Prepare and manage correspondence, reports, presentations, and other documents as needed.
* Organize and maintain files, records, and databases for the Vice Chancellor's office.
* Handle incoming phone calls, emails, and other communications, responding or redirecting as appropriate.
Meeting Coordination:
* Organize and coordinate meetings, including preparing agendas, taking minutes, and distributing follow-up materials.
* Ensure that the Vice Chancellor is prepared for meetings, providing briefing materials and relevant documentation.
Liaison and Communication:
* Serve as the primary point of contact between the Vice Chancellor and faculty, staff, students, and external partners.
* Coordinate communication across various departments and external entities, ensuring that information is accurately conveyed and appropriately followed up on.
* Handle confidential matters and sensitive information with professionalism and integrity.
* Assist with planning and organizing university events, meetings, and conferences.
Reporting and Documentation:
* Prepare reports, presentations, and other documents as directed by the Vice Chancellor.
* Assist in the preparation of materials for University Council meetings, board meetings, and other official proceedings.
* Preparing Minutes of Meetings, Agendas and all necessary official presentations.
Travel Management:
* Organize domestic and international travel arrangements, including transportation, accommodation, and itineraries.
* Ensure compliance with university travel policies and budgetary constraints.
Qualifications:
* A Master's degree in Administration, Business, Communications, or a related field is preferred.
Experience:
* At least 3-5 years of experience in an executive administrative or secretarial role, preferably within an academic or higher education environment.
Skills & Competencies:
* Strong organizational and multitasking abilities.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to manage confidential information with discretion and integrity.
* Strong attention to detail and problem-solving skills.
* Excellent interpersonal skills, with the ability to work with a diverse range of individuals and departments.
* Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.
Working Conditions:
* Full-time position with occasional evening and weekend hours, depending on the Vice Chancellor’s schedule.
