Job Description

The Front Office Assistant / Tour Advisor is the first point of contact for clients and plays a crucial role in handling tour inquiries, providing detailed information about tour packages, assisting with bookings, and ensuring a smooth pre-tour experience for customers. They also support the backend team in documentation, follow-ups, and coordination Key Responsibilities: 1. Customer Interaction & Sales Greet walk-in customers and attend to phone, WhatsApp, email, and online inquiries. Understand customer requirements and recommend suitable group tour or customized packages. Explain tour itineraries, inclusions, exclusions, pricing, and payment options clearly. Follow up with inquiries and convert them into confirmed bookings. Provide EMI details, lowest price guarantee policies, and advance payment terms. 2. Booking & Documentation Collect guest information and maintain accurate booking records. Help customers fill out booking forms and collect required documents. Coordinate with operations for availability, seat blocking, and confirmations. Handle collection of advance payments and issue receipts. 3. Communication & Coordination Maintain regular communication with guests regarding tour updates, balance payments, travel instructions, packing lists, and ID requirements. Assist in preparing final travel documents like tickets, hotel vouchers, and ID cards. Coordinate with kitchen/food teams if required for guest preferences. 4. Office Administration Support Maintain walk-in and call inquiry registers. Keep brochures, posters, and promotional materials updated. Assist in daily reporting to management on inquiry status and booking conversion. Skills & Qualifications: Minimum 12th pass; Graduation preferred. Good communication skills in Kannada, English, and Hindi. Basic computer knowledge (MS Excel, WhatsApp Web, email). Pleasant personality and customer-first attitude. Experience in tourism/hospitality field is an added advantage. Preferred Traits: Ability to handle pressure during peak seasons. Willing to learn tour details and company policies thoroughly. Honest, punctual, and a good team player.
