Job Responsibilities:
• Oversee employee attendance, timekeeping, and shift scheduling systems.
• Ensure accurate maintenance of time records for both permanent and contractual employees. • Review attendance data and process leave requests, absences, and overtime as per company policy.
• Ensure compliance with applicable labor laws related to working hours, overtime, and timekeeping regulations.
• Assist in resolving any discrepancies in attendance, time records, and payroll calculations. Contractor Management:
• Oversee and manage the onboarding process for contractors and temporary staff, ensuring all necessary documentation and formalities are completed.
• Maintain a register of all contractors working at the plant and ensure their work hours, wages, and safety compliance are tracked.
• Ensure that contractors follow company policies, including health and safety protocols.
• Regularly audit contractor records to ensure that payments, benefits, and other entitlements are provided in line with agreed terms.
• Manage workforce planning, including staffing levels, scheduling, and labor utilization to meet operational needs.
• Ensure optimal staffing and shift allocation, adjusting to production schedules and employee availability.
• Track employee attendance and report on workforce productivity and trends.
• Ensure the company's adherence to all applicable labor laws, including wage, overtime, health & safety, and working condition regulations.
• Stay updated on changes in labor laws, the Factory Act, and other relevant regulations and ensure company practices are in compliance.
• Maintain accurate records and documentation to support compliance with the Factory Act, Minimum Wages Act, Shops & Establishment Act, and other related laws.
• Assist in audits and inspections by labor authorities and ensure prompt resolution of any non compliance issues.
• Coordinate with government authorities and legal experts for regular updates on compliance requirements and the implementation of necessary changes.
• Act as a point of contact for employees regarding attendance, time records, and contractor-related queries.
• Maintain clear communication with staff regarding time office policies, compliance requirements, and HR policies.
• Address any employee grievances related to time office management, contractor issues, and related areas.
• Ensure the smooth dissemination of information regarding work hours, shift changes, and related policies to all employees.
• Prepare monthly reports on attendance, overtime, contractor hours, and labor law compliance.
• Maintain records of all attendance, shift rosters, contracts, and related documents for internal audits and external inspections.
• Ensure proper documentation for compliance audits, including the Factory Act, ESI, PF, and other statutory requirements.
• Collaborate with EHS (Environmental, Health & Safety) teams to ensure that workforce and contractors adhere to safety standards, particularly regarding working hours, conditions, and environments.
• Monitor compliance with safety regulations for contractors on-site and assist in any necessary safety training or awareness programs.
