Job Description

Roles & Responsibilities:

  • Handling customer calls and emails.
  • Coordinating with internal departments (sales, accounts, dispatch, stores, service) to fulfill customer orders or requests.
  • Preparing and sharing quotations, order confirmations, PI, invoices and E waybills with customers.
  • Updating customers on order status, dispatch schedules, and delivery timelines.
  • Prepare GRN (Import and domestic) for all incoming items.
  • Prepare and process Stock Transfer Notes (STN) as required.
  • Handle outgoing shipments including proper packaging, documentation and dispatch.
  • Conduct periodic physical stock verification and assist in inventory audits.
  • Ensure proper storage, labeling and identification of materials.
  • Track and report slow-moving or non-moving inventory items.
  • Prepare and manage export documentation such as invoices, packing lists, shipping bills, certificates of origin, and other statutory documents.
  • Maintain accurate export records and files for audits and compliance.
  • Follow up with customers for payments or documentation.
  • Work with CHA (Custom House Agents), freight forwarders, and transporters to ensure smooth logistics.
  • MIS Reports- Open Quotation, open Sales order, Stock Report etc.

Preferred Skills/Requirements:

  • Bachelors degree in Commerce, Business Administration, Supply Chain Management, or a related field.
  • Proven experience in customer service, order processing, and procurement, preferably in the CNC Machines spare parts industry.
  • Strong communication and negotiation skills, with the ability to build relationships and resolve customer issues effectively.
  • Proficiency in using ERP systems and Microsoft Office applications particularly in Microsoft Excel & Word for order management and documentation.
  • Driving spare parts business growth in collaboration with Sales & Service teams.
  • Attention to detail and accuracy in handling quotations, orders, and supplier invoices.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Knowledge of spare parts terminology, suppliers, and industry standards is a plus.
  • Commitment to providing exceptional service and maintaining positive relationships with customers and suppliers.
