Position: Society Manager / Estate Manager
Reporting To: Managing Committee / Secretary
Work Location: Housing Society Premises
Working Hours: 10:00 AM 6:00 PM (MonSat)
Employment Type: Full-Time / Contract
The Society Manager will manage the day-to-day operations of the Co-operative Housing Society, ensure compliance with statutory norms, maintain documentation, supervise staff/vendors, handle member interactions, and support the committee in smooth and efficient society administration.
Ensure smooth functioning of daily activities in the premises.
Supervise security, housekeeping, gardeners, lift operators, and maintenance staff.
Maintain daily attendance of all staff.
Ensure cleanliness, hygiene, and safety in common areas.
Monitor water levels, pumps, electricity supply, fire systems, and basic infrastructure.
Address resident complaints and queries politely and professionally.
Maintain a Complaint Register (physical + digital).
Provide timely updates to residents and the committee regarding issue resolution.
Assist elderly or special-needs residents when required.
Maintain and update all mandatory society registers, including:
Form I Register (Member Register)
Form J Register (Share Transfer & Membership History)
Share Register
Nomination Register
Asset Register / Dead Stock Register
Lien Register
Insurance Register
Fire Audit Register
Lift Inspection Register
Investment Register
Audit & Rectification Register
Visitor & Vendor Registers
Inward/Outward Register
Digitize all records and maintain backups.
Proper filing of physical documents, agreements, minutes, bills, vouchers, and notices.
Keep records ready for audit, inspections, and legal requirements.
Assist the society in following the MCS Act 1960, Rules 1961, and Model Bye-Laws.
Help prepare and maintain paperwork for AGM, SGM, MC Meetings.
Assist auditor during annual audit.
Help maintain documentation for elections, GST, PAN, insurance, and legal matters.
Coordinate with local authorities (CMC/BMC/MHADA/MBMC/PCMC, Fire Dept., Lift Dept.).
Assist in preparation and distribution of monthly maintenance bills.
Maintain defaulter list and follow-up for payments.
Keep records of petty cash, local purchases, and reimbursements.
Verify vendor bills, AMC invoices, and service provider charges.
Support the Treasurer/Accountant during budgeting and financial planning.
Ensure AMC servicing of lift, fire equipment, water pump, CCTV, generator, STP/WWTP, etc.
Verify vendor performance and escalate issues to the committee.
Maintain contracts, agreements, and renewal dates.
Conduct periodic checks on vendor quality of work.
Daily inspection of lifts, common lights, swimming pool, gym, childrens play area, parking, etc.
Issue work orders for repairs with committee approval.
Track pending maintenance work and quality of completed work.
Ensure safety standards are followed consistently.
Prepare and circulate meeting notices.
Draft agenda & minutes of meetings.
Confirm action points with committee and follow up.
Maintain meeting attendance and resolution book.
Document verification (OC, CC, Building plan, Fire NOC, Lift license, etc.)
Assistance in taking charge of assets, warranties, registers, and legal documents.
Create a complete handover checklist with remarks.
Knowledge: MCS Act, Bye-laws, Cooperative society procedures
Technical Skills: MS Excel, Word, Email, Society management software
Communication: Clear communication in Marathi, English, and Hindi
Administrative Skills: Filing, drafting notices, maintaining registers
Leadership: Ability to supervise staff and manage vendors
Problem Solving: Quick decision-making and efficient issue handling
Education: Minimum HSC; Preferably B.Com / Diploma in Society Management
Experience: 28 years in housing society operations (preferred)
