About the Role

We are seeking a Receptionist & Admin Executive who will serve as the first point of contact for visitors and clients while also providing essential administrative support to ensure smooth day-to-day operations. This dual role requires excellent communication skills, organizational abilities, and a proactive attitude to handle both front-desk duties and office administration.

Key Responsibilities Front Office / Reception Duties

  • Greet visitors and clients with a professional and welcoming attitude.
  • Answer, screen, and transfer phone calls; take accurate messages when required.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Handle incoming and outgoing correspondence, packages, and couriers.
  • Assist visitors with sign-in procedures and provide information as needed.

Administrative Support Duties

  • Maintain and update company records, files, and databases.
  • Manage office supplies inventory and coordinate purchase requests.
  • Assist in scheduling meetings, appointments, and conference room bookings.
  • Prepare reports, letters, and other administrative documents.
  • Coordinate with vendors, service providers, and facility management teams.
  • Support HR/Admin in onboarding new employees (documentation, ID cards, desk setup, etc.).
  • Help in organizing office events, meetings, and travel arrangements when required.

Requirements

  • Proven work experience as a Receptionist, Front Office Executive, or Admin Assistant.
  • Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask.
  • Professional appearance and a customer-focused attitude.
  • Ability to work independently and handle confidential information.
  • Qualification: Graduate (preferred) or equivalent.
