About the Role

We are looking for a warm, organized, and proactive Receptionist to be the face and voice of our Kharadi office. The Receptionist will manage the front desk, greet visitors, and answer phone calls to create a welcoming and professional first impression. This role also plays a key part in ensuring smooth office operations by supporting administrative tasks, coordinating appointments, and maintaining a well-organized reception area.

Additionally, the Receptionist will be responsible for coordinating and aligning interviews when candidates arrive, ensuring a seamless experience for both applicants and hiring managers.

Core Responsibilities

1. Visitor & Call Management

Greet and welcome visitors, ensuring they have a pleasant and professional experience.

Provide information and guide visitors to the appropriate department or person.

Answer, screen, and forward incoming phone calls efficiently.

Take accurate messages and ensure timely follow-up.

2. Administrative Support

Schedule appointments and manage calendars for relevant teams.

Assist in coordinating interviews and facilitating candidate flow upon arrival.

Handle incoming and outgoing mail, couriers, faxes, and packages.

Perform data entry, filing, and maintain accurate records.

Support HR, Admin, and other departments with basic administrative tasks as needed.

3. Office Upkeep & Coordination

Keep the reception area clean, tidy, and presentable at all times.

Monitor and maintain office supplies, stationery, and inventory.

Ensure office equipment (printers, phones, scanners, etc.) is functioning properly.

Assist with meeting room bookings and setup when required.

4. Communication & Liaison

Act as a central point of contact for staff, clients, and visitors.

Facilitate smooth communication flow between departments.

Provide updates, share instructions, and relay important information as needed.

Technical Skills

Proficiency with MS Office (Word, Excel, Outlook) and basic computer applications.

Familiarity with office equipment such as printers, phone systems, and scanners.

Preferred Qualifications

Bachelor's degree or equivalent (preferred but not mandatory).

Prior experience in a receptionist, front office, or admin role is an advantage.

Strong interpersonal skills and a service-oriented mindset.
