Job Title: Hospital Receptionist / Front Office Staff

Job Description:

The hospital receptionist is responsible for providing administrative support to the hospital's front office. This position requires interaction with patients, visitors, and healthcare professionals. The receptionist ensures that all visitors and callers receive the necessary assistance, whether it’s directing them to the appropriate department, handling scheduling, or managing documentation. They are essential to ensuring the hospital runs smoothly.

Key Responsibilities:

  • Patient Registration and Appointment Scheduling:
  • Greet patients and visitors in a friendly, professional manner.
  • Register patients upon arrival by collecting personal information, health insurance details, and medical history.
  • Schedule and confirm patient appointments and procedures, ensuring proper time slots and availability.
  • Provide necessary forms and assist patients in completing them, if needed.
  • Phone Reception and Communication:
  • Answer incoming calls in a courteous manner, directing them to the appropriate department or staff member.
  • Handle inquiries from patients, family members, and healthcare providers.
  • Take accurate messages and ensure they are promptly passed to the appropriate personnel.
  • Patient Coordination and Assistance:
  • Assist patients in filling out necessary forms and documents.
  • Provide information regarding hospital policies, procedures, and general inquiries.
  • Escort patients to the waiting areas or departments as needed.
  • Coordinate with doctors, nurses, and other healthcare staff to ensure smooth patient flow.
  • Administrative Support:
  • Maintain and update patient records and files, ensuring compliance with data privacy regulations (e.g., HIPAA).
  • Process and manage patient billing, insurance claims, and other payment-related tasks.
  • Maintain appointment logs and ensure proper recordkeeping for daily patient flow.
  • Prepare and manage documentation for hospital procedures, such as admissions, discharges, and transfers.
  • Inventory and Supplies Management:
  • Monitor front office supplies (e.g., patient forms, brochures, office materials) and ensure timely replenishment.
  • Ensure that the waiting area is well-stocked, clean, and organized.
  • Customer Service and Conflict Resolution:
  • Address patient complaints or concerns, directing them to the appropriate department or personnel for further assistance.
  • Provide a high level of customer service, showing empathy and professionalism at all times.
  • Resolve minor patient complaints or issues efficiently and professionally.
  • Team Collaboration:
  • Collaborate with other hospital departments (nursing, medical staff, billing, etc.) to ensure patient needs are met and to resolve any issues.
  • Assist with other administrative or clerical tasks as requested by management.
  • Ensure smooth handover to the next shift or team member.
  • Compliance and Health & Safety:
  • Ensure all patient interactions comply with hospital policies, patient confidentiality standards, and local regulations.
  • Maintain a safe and clean environment in the reception and waiting areas.
  • Adhere to health and safety protocols in the hospital, especially during emergency situations.
  • Technology and System Management:
  • Use hospital management software to track appointments, patient data, and other essential information.
  • Manage electronic records and maintain accurate data entry to ensure smooth operations.

Job Types: Full-time, Permanent

Pay: ₹12,000.00 - ₹15,000.00 per month
