Job Description

The Purchase Associate is responsible for supporting the procurement and purchasing
activities of the school. This includes sourcing, evaluating, and purchasing supplies, equipment, and services needed for academic and administrative operations. The role ensures all purchases comply with school policies, budgetary limits, and quality standards while maintaining transparent records and timely vendor coordination.

Whatyou will be doing

Assist in the procurement of goods and services for academic, administrative, and facility needs.
Obtain quotations, compare bids, and prepare purchase orders following school procurement policies. Maintain accurate purchasing records and vendor documentation. Monitor stock levels of school supplies and coordinate timely replenishment. Support bulk purchases for school events, examinations, and classroom materials. Identify and evaluate potential suppliers to ensure quality, reliability, and cost-effectiveness. Build and maintain positive relationships with vendors and service providers. Track supplier performance and report any discrepancies or quality issues. Ensure all purchases align with approved budgets and authorization levels. Maintain compliance with school procurement policies and financial procedures. Support audit and reporting requirements by maintaining organized purchasing documentation. Collaborate with academic and administrative departments to understand procurement needs. Communicate order status, delivery timelines, and any delays to relevant stakeholders. Liaise with the Finance Department for invoice verification and payment processing. Coordinate with the store/inventory team for receipt and inspection of goods. Maintain up-to- records of purchase orders, deliveries, and inventory levels. Generate periodic procurement reports for management review.

Qualifications & Requirements

Education: Bachelor s degree in business administration, Supply Chain Management, or a related field.
Experience:

1-3 years of purchasing or procurement experience, preferably in an educational or institutional setting.
Skills:

o Strong negotiation and vendor management skills o Excellent communication and organizational abilities o Proficiency in MS Office and ERP or procurement software o Attention to detail and ability to multitask o Understanding of budgeting and financial documentation
