Property / Project Coordinator Real Estate

Role Overview / Purpose of the Role

The Property / Project Coordinator will serve as the organizations on-ground representative for all commercial real-estate related activities. The role involves regularly visiting properties, coordinating with builders, landlords, vendors, and contractors, ensuring timely progress, identifying gaps, and reporting actionable insights directly to the MD. This position is critical for ensuring smooth project execution, compliance, handovers, and ongoing commercial property operations aligned with business goals.

Key Responsibilities:

  • Conduct regular site visits across commercial/residential properties to assess progress, quality, compliance, and readiness.
  • Act as the primary point of contact between the company and builders, landlords, architects, contractors, and vendors.
  • Identify gaps, delays, risks, or issues related to property development, maintenance, documentation, or handover.
  • Prepare detailed site reports, photographs, punch lists, and progress updates for review by the MD.
  • Track project timelines, deliverables, and commitments made by external partners.
  • Coordinate with internal stakeholders (Legal, Projects, Finance, Retail Operations) for closures, approvals, and compliance.
  • Support lease negotiations, handovers/takeovers, rectification work, and commercial fit-out readiness checks.
  • Ensure properties meet company standards for safety, functionality, branding, and operational requirements.
  • Assist in vendor managementevaluation, performance monitoring, and follow-ups on pending work.
  • Maintain documentation related to site visits, compliance certificates, layouts, agreements, and technical drawings.
  • Support new store openings by coordinating civil, electrical, branding, and finishing work at sites.
  • Drive process efficiency and ensure timely escalation of critical issues to the MD.

Qualification:

  • Graduate in Engineering (Civil/Mechanical/Electrical)
  • Graduate with strong experience in commercial real-estate coordination, project management, or property operations.

Additional certification in Project Management / Real Estate is preferred.

Experience:

  • 5 to 15 years of experience in commercial property coordination, project supervision, site management, or real-estate operations.
  • Experience in interacting with builders, contractors, vendors, and landlords is essential.

Technical Skills:

  • Strong understanding of commercial property layouts, civil & MEP basics.
  • Ability to read drawings, BOQs, and project schedules.
  • Knowledge of compliance requirements, handover/takeover checklists, and site safety norms.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and basic project tracking tools.
  • Strong documentation and reporting capabilities.
