Job Description

We are looking for a capable and detail-oriented Project Support Officer (Construction) to assist our team with project coordination, documentation, and reporting activities. This role will support the successful delivery of construction and infrastructure projects through effective administrative management, document control, and process improvement.

KEY RESPONSIBILITIES:

  • Prepare and format meeting minutes, agendas, and action registers
  • Maintain and update project trackers, risk logs, and issue registers
  • Build and maintain Microsoft Project programs, including tasks, milestones, dependencies, and updates
  • Track and report on project progress against baseline programs
  • Manage project documentation in SharePoint, ensuring correct naming conventions and version control
  • Update and maintain drawing registers, transmittal logs, and deliverable schedules
  • Compile and format weekly and monthly reports in Word, Excel, and PowerPoint
  • Input and manage project data in Power BI and Excel dashboards
  • Support tender and proposal preparation, including formatting CVs and capability statements
  • Schedule internal meetings, manage contact lists, and update Microsoft Planner task boards
  • Operate Power Automate workflows for reminders, approvals, and task tracking
  • Conduct QA checks to ensure consistency in templates, formatting, and documentation
  • Assist in testing and improving process automation workflows
  • Maintain SharePoint structure and ensure files are up to date and accessible
  • Support internal team communication and coordination (non-client facing role)

REQUIRED COMPETENCIES:

  • More than five (5) years of experience in project administration, coordination, or documentation within construction, engineering, or project delivery environments
  • Proficiency with Microsoft Project, SharePoint, Power BI, and Power Automate
  • Advanced skills in Microsoft Word, Excel, and PowerPoint
  • Strong understanding of document control processes, project reporting, and data accuracy
  • Excellent document management and reporting capability
  • Excellent written and verbal English communication skills
  • High attention to detail and ability to produce consistent, quality documentation
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Self-motivated, reliable, and comfortable working independently in a remote setting.
  • Strong coordination and planning skills
  • Proactive approach to problem-solving and process improvement
  • Ability to manage data and workflows efficiently across multiple tools
  • Collaborative mindset with a focus on supporting team success.
