About the Role:

We are seeking a highly organized and proactive professional with 4-7 years of experience in program management and executive assistance. This hybrid role demands strong project leadership capabilities alongside the ability to provide high-level administrative support to senior executives. The ideal candidate will have excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

Program Management:

  • Plan, coordinate, and oversee cross-functional programs and projects from initiation through delivery.
  • Define project scope, objectives, timelines, and resource allocation.
  • Track progress, identify risks and issues, and implement mitigation strategies.
  • Collaborate with stakeholders to ensure alignment and successful project outcomes.
  • Develop and maintain project documentation including schedules, reports, and dashboards.
  • Facilitate meetings, prepare agendas, and document key decisions and action items.
  • Monitor program budgets and timelines to ensure adherence.

Executive Assistance:

  • Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and meeting coordination.
  • Screen, prioritize, and manage incoming communications and requests.
  • Prepare presentations, reports, and correspondence on behalf of executives.
  • Coordinate logistics for executive-level meetings, events, and off-site activities.
  • Act as a liaison between executives, internal teams, and external partners.
  • Handle confidential and sensitive information with discretion.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • 4-7 years of experience combining program/project management and executive assistant roles.
  • Strong organizational and multitasking skills.
  • Proficient with project management tools (e.g., MS Project, Asana, Jira) and office productivity software (MS Office, Google Workspace).
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Strong problem-solving and decision-making abilities.
  • High level of professionalism and discretion.
