Role Overview: As the Personal/Team Assistant for the European Union Special Representative (EUSR) for the South Caucasus and the Crisis in Georgia, your primary responsibility will be to provide personal assistance to the EUSR and team assistance to the EUSR's team in Brussels. You will play a crucial role in ensuring the smooth functioning of the office and supporting the EUSR and team in various administrative tasks. Key Responsibilities: - Act as personal assistant to the EUSR and provide assistance to the team as needed. - Serve as a focal point in the EUSR office in Brussels for handling incoming calls and correspondence. - Assist in managing correspondence, appointments, and mission preparations, including booking meetings, arranging meals, requesting accreditation, and welcoming visitors. - Maintain the planning calendar of the EUSR and the team to ensure efficient scheduling. - Coordinate mission preparations by making reservations for tickets and hotels, and obtaining visas for the EUSR and team members. - Establish and update a comprehensive list of contacts for the EUSR team. - Handle filing and storing of documents, setting up an organized archive for reports and correspondence. - Communicate with relevant actors on administrative matters such as office equipment, furniture, and IT connections. - Support the EUSR team members in fulfilling administrative tasks and organizing recruitment procedures. - Assist the accountant with travel claims, missions expenses, ARES correspondence, and COREU processing. - Undertake any other tasks assigned by the EUSR to ensure the smooth operation of the office.
