The Personal Secretary to the MD provides high-level administrative, secretarial, and personal support to ensure the efficient operation of the MD’s office. This role acts as a central point of contact, manages sensitive information, and contributes to the MD’s productivity and time management. Key Responsibilities: Diary & Schedule Management: Organize meetings, appointments, and travel. Anticipate and resolve scheduling conflicts. Communication Handling: Serve as the MD’s first point of contact. Screen emails, calls, and correspondence. Meeting Coordination: Prepare agendas, documents, and minutes. Follow up on action items. Travel Management: Book flights, accommodation, transportation, and manage itineraries and expenses. Document Preparation: Create reports, presentations, and maintain performance dashboards. Information Management: Maintain organized and secure filing systems. Gatekeeping: Filter requests and manage access to the MD for effective time use. Task Management: Track deadlines, prioritize tasks, and follow up on pending issues. Personal Assistance: Assist with personal appointments, travel, and errands. Office & Project Support: Manage supplies and support various projects as assigned. Expense Reporting: Reconcile MD’s business and travel expenses. Research: Conduct basic research and compile data as needed. Qualifications: Bachelor's degree in business administration, Secretarial Studies, Office Management, or related fields preferred. Excellent written and verbal communication. Strong interpersonal, problem-solving, and research skills. Experience: 5–7 years in a similar role, preferably supporting senior management in a corporate environment.
